Job Overview
As an Accounting Clerk, you’ll be responsible for supporting accounting operations and administrative functions within the Association. This is an on‑site opportunity at a property in the.qq Lakeview East neighborhood of Chicago, Illinois.
Responsibilities- Respond to unit owner billing inquiries and provide supporting documentation as needed.
- Initiate unit transfers by submitting closing documents to the Ownership Change department.
- Welcome new owners and assist with setting up Click Pay, eStatements, and Resident Connect access.
- Process work‑order income and ensure proper general ledger income coding.
- Prepare the monthly delinquency report based on association receivables.
- Issue late fees and delinquency letters with property manager approval.
- Work with the property manager and collections attorney on severely delinquent accounts.
- Support the annual audit by providing requested Jenark reports to the auditor.
- Review and process invoices in AvidXChange, ensuring accuracy and correct expense coding.
- Coordinate with Vendor Management to verify and set up new vendors.
- Process bi‑weekly payroll in ADP and confirm accuracy before final approval.
- Assist with budget preparation by providing Jenark reports to the property manager and updating payroll forecasts.
- Monitor cash flow by reviewing general ledger reports and identifying discrepancies.
- Prepare the monthly Capital Expense report for the Board Treasurer to reimburse the operating account.
- Assemble board packets for 3550 Condominium Association board meetings.
- Maintain unit owner insurance records and update insurance information on IL Connect accordingly.
- File completed work orders and insurance documents in their designated locations.
- Monitor and replenish essential office supplies proactively.
- Coordinate building events with the assistant manager, including the Marathon, Air Show, Annual Meeting, and Staff Holiday Party.
- Two years’ experience in accounting, bookkeeping, or equivalent experience in a related field.
- Work effectively with coworkers, clients, customers, and others by sharing ideas in a constructive and positive manner; address problems and issues constructively to find mutually acceptable and practical business solutions.
- Experience working with MS Office Suite, including Microsoft Excel.
- Possess a growth mindset and an ability to multi‑task and prioritize different projects at any given time.
- Superior oral and written communication skills.
$18.75 - $19.23 per hour Kens Aspen
