Position OverviewLooking for someone that is comfortable in a fast-paced working environment and enjoys working with people; flexible and does not mind wearing several hats at one time. This is an Office Coordinator position in the Human Resources office. This position will perform duties in several areas of human resources. Will assist HR Team with posting and filling vacancies utilizing Success Factors;
assist management and staff in human resources areas; prepare reports; research training opportunities for staff; submit job descriptions for review; and participate on the employee activities committee and coordinate events. Functions
- Serves as the office coordinator for ICIA Human Resources team and provides administrative support to the Human Resources Director.
- Gathers information, prepares, and maintains monthly human resources reports.
- Under direction, assist with the pre-posting requirement for Success Factors for the Springfield and Chicago offices.
- Provides administrative support to the HR training unit by coordinating logistics for employee training sessions.
- Participates on the agency activities committee and coordinates employee activities.
- Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.
- Requires knowledge, skill, and mental development equivalent to two years of secretarial/business college, or completion of high school and two years of related office experience, or two years of independent business experience.
- Requires ability to keyboard 30 words per minute.
- Prefer one-year of experience performing administrative support tasks, such as coordinating trainings and meetings, creating and updating reports, and managing front office operations.
- Prefer two years’ experience utilizing programs such as Microsoft Office, Excel, Outlook, PowerPoint, Word, and Adobe.
- Prefer one-year of experience using Human Capital Management (HCM) or similar systems to perform fundamental basic human resources functions, such as maintaining personnel records, supporting hiring and recruitment processes, and employee related transactions.
