General DescriptionThe Wyoming Department of Agriculture is looking for a Senior Office Support Specialist to prepare contracts and MOUs working with the AG's office and Department staff. Also manages a timeline and tracking system of purchasing requirements, contracts, grants, and MOUs to ensure applications, reports, and close-outs are completed in a timely manner. Performs fiscal processes on the Department’s inventory listing and processing of purchase cards.
Provides normal office functions such as greeting guests and answering phones.

- Prepares contracts for review & routing.
- Compiles and analyzes a variety of data and information and prepares related reports.
- Administers a database of information.
- Prepares routine response/notification letters.
- Prepares routine compliance schedule.
- Determines the scope of work through data and service analysis.
- Reviews proposals and grant applications for compliance with the RFP or grant application requirements and takes appropriate action.
- Receives, analyzes and responds to requests for information.
- Work involves taking on various administrative responsibilities in order to allow management to focus on critical issues.
- Coordinates a variety of advanced, diversified and/or confidential administrative support functions.
- Processes the fiscal documents of the state purchase card.
- Processes purchasing documents.
- Attends, takes minutes and prepares necessary records for meetings as needed.
- Provides office support; answers phone calls, greets visitors, and assists in other areas as needed.
- Conducts research related to the specific project or program.
- Assures the procurement process is managed appropriately and according to procedures established by the Department of Administration and Information and the Department of Enterprise Technology Services.
- Receives, analyzes and responds to requests for information.
- Explains program requirements and interprets policies.
- Tracks information.
- Coordinates Special Projects as needed.
Preference may be given to those applicants with a Bachelor's degree in business or other closely related field with up to two years of experience.
Knowledge- Knowledge of office organization, methods and practices.
- Knowledge of applicable state and federal rules, regulations and standards.
- Knowledge of basic math.
- Knowledge of computer programs and applications.
- Knowledge of records management.
- Knowledge of grant and contracts procedures and policies.
- Knowledge of skills needed to provide great customer service to all Wyoming Department of Agriculture customers.
Education: Bachelor's Degree (typically in Business)
Experience: 0-1 year of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II OR
Education & Experience Substitution: 3-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist II

Physical Working Conditions- Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
