Development/Marketing Administrative Assistant serves in planning and implementation of the goals, special events, campaigns, mailings, printing, correspondence and other administrative tasks. Point of contact for residents, families and the primary support person for the Marketing and Development departments.

Development Department

This position provides essential administrative and stewardship assistance to the Director of Development. This team member helps organize and execute key fundraising activities that advance the mission of Elim Park. These include the following:

  • Administrative support for annual fundraising appeals and an upcoming capital campaign.
  • Assist in building and maintaining strong relationships with current and prospective donors.
  • Facilitate donor engagement by making donor appointments, coordinating special events and workshops, direct mail, and online giving.
  • Work closely with the Development Director in maintaining the donor database, including accurate and timely processing of donations, updating donor records, responding to donor inquiries, and ensuring the integrity of the database.
  • Assist in stewardship efforts, including tracking donor interactions, and compiling donor profiles for the database.
  • Prepare and send donor thank-you letters, emails, tribute notes, and other acknowledgment materials.
  • Prepare reports on fundraising activities and outcomes that allow the Development Director to report results and promote fundraising needs to both internal and external donor constituencies.
  • Collaborate with other departments within the organization to support fundraising efforts.
Qualifications Marketing Department

The Marketing Assistant supports the marketing and sales efforts of our senior living community by coordinating events, managing marketing correspondence, supporting lead generation and reporting through the CRM system, and assisting with the new resident move-in process.

Key Responsibilities:
  • Support the sales team with planning and coordinating Open Houses, waitlist retention events, and other marketing events, including catering coordination, parking logistics, event setup, guest greeting, and post-event follow-up correspondence.
  • Extract and manage mailing lists and generate reports from the marketing database/CRM.
  • Maintain marketing materials, including inventory tracking and supply management.
  • Assist with ongoing preparation and data collection for industry trade surveys.
  • Work directly with residents and families to provide support as needed, including during new resident move-ins.
  • Provide front desk coverage during staff breaks and absences, as needed.

Skills and

Qualifications:

  • Excellent communication and interpersonal skills.
  • Strong organizational and project management skills.
  • Proficiency in fundraising software and databases.
  • Data entry and updates donor information; export/extract custom data reports.
  • Track and maintain an inventory of supplies, collaterals, etc.
