OFFICE AUTOMATION ASSISTANT with Security Clearance
Office Automation Assistant provides general office administrative support (50%) and office management support (50%) for the Fleet and Family Support Centers (FFSC) at the Navy Region Mid-Atlantic Command.
ResponsibilitiesThe employee will perform general front office administrative services, including receipt of referrals, document processing, FOIA requests, record maintenance, client support, equipment handling, follow‑up, visitor and phone reception, appointment scheduling, meeting coordination, minute taking, document production with word processing and desktop publishing tools, and other administrative communications. The employee also reviews, revises, and maintains local standard operating procedures; establishes subject matter files;
maintains logs; ensures compliance with confidentiality/PH guidelines; assists with travel, training and Temporary Additional Duty Prototype orders; coordinates training certificates; maintains service logs; and performs special projects and assignments as directed by the supervisor. Additional duties include preparation of charts, narrative reports отда, timekeeping functions and maintaining electronic files.
- A valid State driver's license is required to operate motor vehicles.
- Direct deposit/electronic funds transfer is required for salary payments.
- Must successfully pass the E‑Verify employment verification check.
- Must have or be able to obtain and maintain a secret security clearance.
- Starting May 7dow, non‑affiliated individuals requesting access will need a REAL‑‑compliant driver's license or another acceptable form of identification to access CNRMAিয়ান Installations.
- Knowledge of FFSP policies, regulations, procedures, and reporting requirements and a broad knowledge of other FFSP elements.
- Skill in communicating with clients, management and leadership to obtain information and explain regulations and agency procedures.
- Diplomacy and tact in dealing with other agency staff and clients in stressful and emotional situations.
- Knowledge of English grammar, usage, formatting, and procedural requirements.
- Writing, typing, and oral communication skills to produce letters, memoranda, reports and explanations of complex regulations.
- Knowledge of office file organization and document handling.
- Knowledge of clerical procedures for file processing, information retrieval, report preparation and recording of suspense records.
- Computer proficiency with word processing systems and other══ software packages used by the FFSP. Fully qualified typist required. Skills in text insertion, deletion, retrieval, manipulation, copying, printing and editing functions.
- Knowledge of briefings for FFSC programs and the mission, functions and organizational structure of the FFSP.
- Knowledge of travel and training request procedures, of time and attendance reporting and record‑keeping, of DOD Purchase Card Program use, of automated appointment system management, and of procurement cardholder appointment procedures.
- Knowledge of the supervisor’s duties, priorities, commitments, policies and program goals to perform nonبرت assignments.
The employee may be required to complete a one‑year probationary period and must participate in the Direct Deposit/Electronic Fund Transfer program within the first 30 days of employment. Salary is dependent on experience and/or education. The position may require a Government‑issued Travel autobus Card for official travel.
