About the Role

We’re hiring a high-ownership Clinic Manager / Front Office Lead / Executive to manage the day-to-day operations at Illume Advanced Dentistry (Subsidiary) at Nungambakkam.

This role combines patient handling + conversion + clinic management + coordination and is ideal for someone who is confident, organised, and great with people.

You’ll be the face of the clinic on most days.

Key Responsibilities
1) Patient Calls + Lead Handling + Conversion

- Take inbound calls, Whats App leads, Instagram enquiries
- Explain treatments clearly and confidently (pricing, process, timelines)
- Convince and convert interested patients into bookings
- Follow up with leads systematically until closure
- Maintain a lead tracker and daily follow-up list

2) Appointment Management + Patient Experience

- Schedule appointments and manage doctor calendar
- Ensure patients are welcomed properly and guided smoothly
- Handle walk-ins and manage queue/flow
- Coordinate reminders and confirmations

3) Content Support (Basic Photo/Video)

- Take patient photos/videos (with consent) for marketing/social proof
- Capture before/after, testimonials, clinic moments
- Coordinate with marketing team for uploads/content calendar
- Maintain an organized patient media folder

4) Clinic Operations + Space Management

- Oversee clinic hygiene, setup, and ambience daily
- Coordinate housekeeping staff and ensure cleanliness standards
- Ensure reception, waiting area, washrooms are always presentable
- Maintain stock requirements (basic clinic supplies + front office needs)

5) Billing, Accounts & Reporting

- Maintain daily collections record (cash/card/UPI)
- Track invoices, payments, and pending balances
- Support basic coordination with accountant/admin team
- End-of-day summary: appointments, revenue, leads, follow-ups

6) Team Coordination

- Coordinate between doctor(s), assistants, housekeeping, and marketing
- Ensure discipline, punctuality, and smooth clinic operations
- Handle small issues before they become problems

Requirements / Skills

- Excellent communication (Tamil + English preferred)
- Confident, presentable, and friendly with patients
- Strong follow-up and conversion mindset
- Comfortable using Whats App Business, Excel/Sheets, basic systems
- Ability to take good photos/videos on phone (clean, premium vibe)
- Mature, calm under pressure, and detail-oriented
