Job Summary
Under direction of the Patient Access Manager, the Patient Access Supervisor oversees Patient Access Specialists to ensure daily operations are effective and efficient. The role coordinates day‑to‑day operations for gathering demographic, medical, insurance, and financial information, verification of benefits, electronic billing, fast track of patients, and collection of patient liabilities at time of service. Supervises staff, provides guidance and coaching, handles hiring, performance evaluations, staffing, scheduling, and on‑call duties.
Responsible for addressing denials, ensuring compliance with regulatory requirements, and maintaining departmental policies.
Education & Qualifications
- Education: Associate’s Degree in Business Administration or health‑care related field or equivalent experience.
- Preferred Education: Any combination of education and experience considered.
- Experience: Minimum 2 years in front‑end revenue‑cycle operations or commercial/governmental insurance claims center. Proficiency in customer relations, patient access, financial services policies, ICD‑9/CPT terminology. Moderate MS Excel/Word/PowerPoint, basic math, interpretation of statistics, and fiscal budgeting.
- Preferred Experience: Exposure to Invision, McKesson Star, or Epic HIS systems.
- Certification: Certified Healthcare Access Associate or Certified Healthcare Access Manager from NAHAM (preferred).
- Other: Ability to work in a fast‑paced, multitasking environment; strong written and verbal communication; leadership skills; measurable outcomes and change‑management experience.
Responsibilities
Monitor quality and outcome standards; provide training for employees below thresholds; recognize exceptional performance.Facilitate positive working relationships with clients, families, coworkers, administration, and other health professionals.Ensure workflows and processes are embedded in front‑line staff; maintain best practices.Monitor staff daily productivity and support peak performance using measurable metrics.Assist manager with development of training materials for new technologies and processes.Practice Erlanger’s Mission, Vision, and Core Values; demonstrate excellent communication, customer service, and time‑management.Manage patient complaints; resolve concerns and report to superiors.- Intercede with family and patients.
- Investigate facts related to complaints and incident reports.
- Escalate concerns proactively.
Promote a high‑quality work environment; motivate staff and promote teamwork.Ensure front‑line staff create an excellent first impression with empathy, kindness, and respect.Oversee operations management: monitor policies, procedures, and job aids; hire, fire, discipline, and evaluate employees; train and orient new staff.Collect, analyze, and report patient satisfaction data and key performance indicators.Maintain staff schedules and compliance with minimum staffing expectations.Oversee time and attendance system and document personnel deviations.Conduct daily huddles and document attendance.Take part in on‑call schedule with 24‑hour accountability.Manage cash collections, pre‑registration, pre‑certification, authorization, and insurance verification; ensure accuracy.Provide feedback during performance appraisals; recommend promotions or disciplinary actions.Monitor point‑of‑service collections toward month‑end and year‑end goals.Support Financial Advocates on nursing floors to discuss financial liability with EHS.Assist in monitoring budget reports, overtime, and supply expenses; prepare capital and operational budgets.Maintain compliance with HIS standards, document imaging, safety policies, and emergency drills.Follow all policy, guidelines, and procedures, including federal, state, and HIPAA regulations.Ensure patients receive Patient Rights statements, Medicare messages, and Red Rules compliance.Monitor privacy and HIPAA activities; maintain standardized patient registration protocols.Position Requirement(s)
