Position Summary:
The Executive Assistant – CFO, Americas is a high‑trust role responsible for providing strategic administrative partnership to the Chief Financial Officer. This position protects executive time, ensures meetings are decision‑ready, and drives disciplined follow‑through across leaders and stakeholders in a fast‑paced logistics environment.
The Executive Assistant serves as a key lever for executive execution, managing complex coordination, maintaining strict confidentiality, and enabling operational efficiency through organization, proactive communication, and responsible use of AI‑enabled productivity tools.
Key Responsibilities:- Own and manage the CFO’s calendar strategy, including scheduling, prioritization, conflict resolution, and protection of executive focus time
- Ensure meeting readiness through preparation of agendas, executive briefs, pre‑read materials, logistics coordination, and action item tracking
- Responsible for the administrative coordination related to insurance documentation, vendor files, and renewal deadlines
- Drive execution cadence by tracking commitments, deadlines, risks, and deliverables while proactively closing follow‑up loops
- Coordinate complex domestic and international travel arrangements, including contingency planning and expense management processes
- Assist with corporate documentation workflows, including KYC packages, licenses, templates, document tracking, and preparation of materials for executive review
- Draft executive‑level communications, summaries, trackers, templates, and meeting notes using AI tools appropriately and with strong professional judgment
- Maintain strict confidentiality while managing sensitive financial, operational, and executive information
- Collaborate cross‑functionally with senior leaders, finance teams, and external stakeholders to ensure alignment and timely execution
- Manage expense reporting workflows in compliance with company policies, with experience in Concur preferred
- 5 to 10+ years of Executive Assistant experience supporting senior leaders at the VP or C‑level; direct CFO support strongly preferred
- Demonstrated ability to manage complex calendars, executive communications, and high‑level stakeholder coordination
- Exceptional discretion, reliability, and attention to detail
- Strong written and verbal communication skills with the ability to produce executive‑ready materials
- Advanced proficiency in Microsoft 365, including Outlook, Teams, Excel, and Power Point
- Experience coordinating travel logistics and expense management workflows;
Concur experience preferred - Proven ability to follow up, drive accountability, and elevate issues appropriately
- Comfort leveraging AI tools to enhance productivity and efficiency while maintaining confidentiality and professional standards
- Professional office setting within a fast‑paced logistics and corporate finance environment
- Frequent collaboration with executive leadership, internal departments, and external partners
- The role requires extended periods of computer use, virtual meetings, and detailed administrative coordination
- Occasional flexibility in schedule may be required to support executive travel or business priorities
