The Program Administrative Coordinator to the Physician Assistant Program shall provide administrative support to the faculty and staff of the PA program. The Program Administrative Coordinator will maintain the departmental office, coordinate all program events, coordinate travel arrangements, coordinate program calendars and meetings, and assist the Admissions Coordinator. Additionally, the Program Administrative Coordinator will directly support the Assistant Dean and Program Director.
Such support will include assisting with the program’s budget, coordinating the program’s communication with outside professional entities, and participating in program recruitment functions.
- High school diploma
- Two years office experience
- Promote the mission of Lincoln Memorial University to all faculty, staff, students and to the community at large
- Promote effective working relationships among faculty, staff, students, alumni, professionals, and the general public
- Participate on university committees
- Initiate and maintain student, clinical, alumni, and professional contact databases
- Facilitate contact between faculty, staff, and professionals
- Provide support and supervise program events
- Greet and direct visitors in a friendly and professional manner
- Answer and direct telephone calls for assistant dean and admissions coordinator
- HRSA grant processing and administrating
- Certifying and processing paperwork for credentialing for graduating students
- Coordinate travel arrangements, and coordinate the Assistant Dean of PA Studies calendar including meeting schedules and arrangements
- Maintain other faculty calendars
- Provide office support (typing, filing, copying, etc.) as required
- Open and sort mail
- Maintain records and files
- Initiate action as necessary for the handling of work items and issues, particularly those related to departmental faculty, staff, and students
- Order and maintain office supplies
- Operate and maintain office equipment
- Train and supervise work-study students
- Maintain conscientious work ethic to include puchtuality, professional dress and demeanor
- Take minutes for division and department meetings or as assigned
- Complete institutional and program accreditation reports and other reports necessary for the operation and advancement of the University
- Assist admissions with applicants and all necessary paperwork
- Interview as needed; coordinate orientations, white coat ceremony, open house, and graduation events
- Assist with proctoring of exams; assist with budget preparation and maintaining budget records
- Arrange and structure the yearly PA retreat for accreditation meetings
- Assist with coordination of student labs as needed
- Interact directly with executive assistant to vice presidents regarding personnel issues and budgets regarding the program, communicate with outside professional corporations on behalf of the program; assist with training of new staff members
- Perform other duties as assigned
