Role OverviewThe Production Assistant supports the Director of Event Production in the planning, setup, execution, and closeout of live and virtual events. This role is detail-oriented, fast-moving, and highly collaborative. It is ideal for someone who stays calm under pressure, anticipates needs, and enjoys making complex productions run smoothly behind the scenes.
The Production Assistant is a key on-the-ground and behind-the-scenes support role, helping ensure timelines are met, logistics are handled, and presenters, partners, and guests have a seamless experience.
Key Responsibilities- Assist with event and production logistics before, during, and after live and virtual programs
- Support run-of-show execution, including cueing speakers, setting up registration links, managing timing, and tracking deliverables
- Help coordinate speakers, panelists, vendors, and partners during prep and live execution
- Support room setup, registration flow, signage, and on-site troubleshooting
- Assist with registration and creating of links for webinar and virtual event platforms (e.g., Zoom, webinar tools) under direction of the Event Production Director
- Prepare and organize production documents (run of show, speaker lists, timelines, checklists)
- Track assets, links, files, and post-event materials
- Assist with post-event follow-up, recordings, and wrap-up tasks
- Support Event Producer as staffed and in key front- and back-of-house facing positions
- Handle real-time problem solving and last-minute adjustments
- Maintain a professional, calm, and solutions-oriented presence
- Strong organizational skills and attention to detail
- Clear, professional communication skills
- Ability to remain calm and adaptable during live events
- Familiarity with virtual event platforms (Zoom experience required; webinar tools a plus)
- Willingness to learn and take direction while also anticipating needs
- Prior experience supporting events, conferences, or video productions
- Experience with run-of-show documents or production schedules
- Comfort interacting with clients, speakers, and senior stakeholders
- Events and productions run smoothly and on schedule
- Speakers and clients feel supported, prepared, and confident
- Issues are addressed quickly and calmly with minimal disruption
- The Director of Event Production can focus on high-level execution knowing details are handled

Position Type: $45,000-$55,000 commensurate with experience
