Position OverviewThis role works closely with marketing and communication teams to support projects and tasks, ensuring all efforts align with company objectives. A successful hire anticipates needs, manages multiple competing priorities, and creates, produces, and maintains materials and schedules.
Key Responsibilities Asset Management + Coordination- Develop and maintain a photography calendar that supports marketing and strategic initiatives.
- Source and purchase project photography.
- Organize and maintain the company’s digital asset library, including photos, videos, and marketing collateral.
- Implement tagging, metadata, and taxonomy for discoverability.
- Ensure assets adhere to copyright, licensing, and internal policies.
- Assist in updating website, brochures, one-pagers, and other marketing and communication materials.
- Support internal teams with company‑wide and individual award submissions, including scheduling and submitting.
- Support internal teams with the creation and formatting of branded templates and resources.
- Assist in the maintenance of CRM database information, including contact information, project descriptions, resumes, sub‑consultant information, etc.
- Assist with the overall management of the firm’s digital business card platform; manage business card orders and ensure error‑free quality.
- Provide logistical support for company events and trade shows, including venue research and day‑of coordination.
- Ship, track, and inventory supporting materials for company events and trade shows.
- Research clients, market trends, and background information to contribute to fully understanding the local competitive landscape.
- Work closely with marketing and communication team members to support various projects and initiatives.
- Provide general administrative support as needed to ensure smooth operations, including calendar maintenance, scheduling, and project (proposal) closeout.
- Update, monitor, and identify potential project opportunities in conjunction with proposal team.
- Maintain relationships with third‑party vendors for various marketing needs (printing, photography, promotional items, etc.).
- Prepare, print, and mail a range of documents, including proposals, presentations, and other materials.
- Order, stock, and assess inventory of marketing collateral and supplies for print production.
- Track and process invoices.
- Education: Associate’s degree in marketing, business, communications, or related field.
- Experience: 0–2 years of experience in a marketing role or internship, ideally within the engineering or technical sector. Recent graduates with relevant experience or internships will also be considered.
- Skills: Strong communication (written, verbal, copy‑editing), organization, team‑building, and relationship‑management skills. Proficiency in Microsoft Office Suite and familiarity with marketing software (CRM systems, Adobe Creative Cloud, social media tools) is a plus.
- Time Management: Ability to manage and organize multiple marketing efforts simultaneously, with constant attention to detail.
- Team Player: Collaborative attitude with willingness to assist and learn from others.
- Strong interpersonal skills and the ability to work effectively within a team.
- Work will primarily be in an office setting with limited opportunities to be exposed to adverse environmental conditions.
- Work will involve repetitive motion, such as typing and grasping.
- Must have visual acuity for viewing a computer screen, the ability to talk, hear, and sit for extended periods of time.
- Must be able to carry, lift, and push/pull up to 5 pounds frequently and up to 30 pounds occasionally.
