OverviewThe Parts Coordinator is responsible for managing the facilitation and inventory control of parts from suppliers to the on-staff maintenance technicians. The position manages the MRP process of replacing stock parts, works closely with the asset care planner to ensure all parts and components for planned and scheduled work are in stock and available for kitting in advance of the job start date.
The Parts Coordinator also receives and processes all parts requests and returns, including movement of parts between inventory locations, cross-referencing between manufacturers and suppliers to ensure procurement from specified vendors, and providing routine cycle counting of parts inventory in alignment with Corporate Accounting guidelines.
- Manages the organization and layout of the storeroom location(s), following all corporate storeroom policy, finance, and CAAS requirements related to parts room management
- Works with internal stakeholders to ensure secure storeroom practices for inventory accuracy
- Runs negative quantities reports and researches findings
- Ensures kit parts are on-hand for scheduled work
- Validates the SAP item master for standardized descriptions, min/max, reorder points, safety stock, stock vs non-stock, costs, where used, bin locations, OEM cross-references, refurbish status, and lead times
- Makes recommendations regarding stocking materials based on usage and lead times; adjusts inventory levels to minimize carrying costs; collaborates with management to maintain a critical spares list and PM program for rotating spare parts
- Ensures first-in-first-out materials handling to prevent shelf-life issues and manages obsolescence of removed assets and OEM-discontinued spares
- Collaborates with engineering and reliability engineering on parts standardization to minimize SKU count
- Works with other CCCI parts coordinators and maintenance system personnel to standardize business processes across all plants related to spare parts and materials; uses STO as needed and communicates inventory availability to department managers
- Receives goods receipts, stages work order parts, puts away stock parts; runs MRP reports, researches issues, and follows up on open PO reports with vendors
- Maintains parts coordinator-related KPI data and reviews with the maintenance manager and team through routine cycle counts and periodic full inventories
- Works with procurement to ensure vendor contracts and agreements are followed; tracks vendor performance; reports annually for ISO assessment; evaluates opportunities for vendor-managed, consignment, or offsite approaches to minimize SKUs and stock levels
- Processes web cycle invoices, monthly credit card statements, monthly PO contracts, and MRO orders; orders miscellaneous parts and materials daily
- Supports continuous improvement within the maintenance function, evaluates scrapping and maintaining current inventory, and handles RMA/return/refurbished parts as needed
- Ability to lift up to 50 lbs on a routine basis
- Willingness to obtain forklift certification and operate a forklift
- Ability to work flexible hours to include weekends and holidays as required
- High school diploma or GED
- 1 to 3 years of related work experience
- 2 years inventory control management experience
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Ability to collaborate and work well with others
- Ability to work independently or in a team environment
- Basic decision-making skills and use of independent judgment
- Commitment to continuous improvement
- 2 years of education beyond high school in college or technical school
- Technical experience in manufacturing equipment repair or parts is preferred
- Shipping and receiving experience is desired
- Attention to detail
- CMMS experience
- SAP experience preferred
