Overview

The Senior Operations Manager directs clinic operations and manages clinic staff to ensure effective, efficient delivery of high-quality patient care and an excellent patient experience.

• Oversee daily operations and patient throughput for 1–3 clinics (50k–100k annual encounters / 9–14 providers) to ensure efficient, high‑quality care.
• Lead strategic growth initiatives and support market expansion with Executive Leadership.
• Recruit, retain, and engage high‑performing staff; manage scheduling, timekeeping, performance, coaching, and development.
• Promote patient and staff safety through consistent rounding and action planning.
• Optimize patient access and provider capacity through schedule utilization analysis.
• Manage EHR dashboards, reports, work queues, and clinic workflows for operational excellence.
• Oversee administrative and clinical inventory: ordering, tracking, stocking, vendor coordination, and partnership with Purchasing on process improvements.
• Coordinate facility and equipment maintenance using established workflows.
• Lead operational processes for provider onboarding/offboarding and clinical education program scheduling.
• Maintain vendor and community relationships, partnering with Marketing as needed.
• Support daily clinic functions as required.

• Meet financial objectives through monthly review of financial statements, budgeting, and forecasting.
• Drive visit volume, revenue optimization, and staffing alignment.
• Maximize patient payment collection and reinforce financial policies.
• Identify new revenue or cost‑saving opportunities; ensure accurate charge capture.
• Address patient concerns promptly and document in tracking systems.
• Promote digital tools (patient portal, online scheduling) to improve accessibility.
• Partner with providers and staff to enhance patient satisfaction through coaching and workflow improvements.

• Ensure staff compliance with all policies, procedures, regulatory requirements, and safety protocols.
• Maintain staff certifications and required annual trainings.
• Train on new/existing workflows, including EHR processes.
• Develop onboarding and training plans with HR for new hires.
• Communicate consistently through 1:1 meetings, staff meetings, and provider updates.
• Must meet the physical/mental demands of the role and maintain reliable, on‑site attendance.

• High school diploma or equivalent required. Bachelor’s degree preferred. MHA/MBA preferred.
• Five or more years’ healthcare/practice management experience required.
