About the Role

We are seeking a Legal Secretary to be the first point of contact for our clients and provide essential administrative support to our team. This role is ideal for someone who thrives in a client-facing position, has strong organizational skills, and is eager to contribute to a team that makes a real impact.

Key Responsibilities
  • Client Engagement: Answer and forward phone calls, greet clients, and conduct initial case intake to determine fit for the firm.
  • Administrative Support: Maintain incoming faxes, sort and distribute mail, schedule appointments, book meetings (in-person and virtual), and arrange couriers.
  • Legal Assistance: Prepare and file legal documents, maintain case records, and manage various portal sites used to collect medical records and bills.
  • Office Management: Keep the reception area organized and ensure the office operates smoothly.
  • Collaboration: Work closely with attorneys, paralegals, and legal assistants to enhance workflow and client experience.
What Success Looks Like

First 3-6 Months:

  • Develop strong professional relationships with clients and team members.
  • Confidently vet new case inquiries and answer frequently asked client questions.
  • Ensure all client interactions are well-documented in the case management system.

Long-Term (1-2 Years):

  • Gain a deep understanding of case processes and contribute to case preparation.
  • Independently manage client communications, from intake to case updates.

Qualifications
  • Required: High school diploma or GED; 1-2 years of customer service experience.
  • Preferred: Experience in a legal setting or familiarity with legal terminology.
  • Nice-to-Have: Spanish proficiency.
