We are looking for a motivated and dependable HR & Talent Operations Executive to support our U.S.
-based workforce and recruiting operations
. This role is open to junior and mid-level candidates who are eager to build a long-term career in U.S. HR, staffing, and talent operations
.
The role involves employee management, timesheet and leave tracking, HR coordination, immigration-aware administration, and recruiting support
. Candidates must demonstrate excellent communication skills
, strong follow-through, and a clear understanding (or willingness to learn) how the U.S. staffing ecosystem works across W-2, H-1B, OPT/STEM OPT, TN, and Corp-to-Corp (C2C) models.
This is a fully onsite role in Charlotte, NC, 5 days per week, with no exceptions
.
- Employee & HR Operations
- Support onboarding and offboarding of employees and consultants
- Maintain employee records and HR documentation
- Serve as a point of contact for employee questions related to HR policies, payroll cycles, and work authorization
- Coordinate employee accounts, tools, and access
- Timesheets, Payroll & Leave Support
- Collect and track weekly and bi-weekly timesheets
- Follow up with employees to ensure on-time submissions
- Assist with payroll coordination and validation
- Track PTO, sick leave, unpaid leave, and attendance
- Maintain accurate workforce and utilization records
- Immigration-Aware HR Support
- Assist with tracking visa status and work authorization for:
- H-1B
- OPT / STEM OPT
- TN Visa
- Maintain employee records related to LCAs and work locations
- Coordinate documentation with immigration attorneys and leadership
- Ensure employees adhere to approved work locations and assignments
- Recruiting & Talent Acquisition Support
- Assist in sourcing and screening candidates
- Schedule interviews and coordinate candidate communication
- Support recruiting for W-2, Contract, and C2C positions
- Maintain candidate pipelines and recruiting trackers
- Coordinate with vendors and staffing partners
- Vendor & Client Coordination
- Assist with documentation and onboarding for C2C vendors
- Track vendor compliance documents
- Support client onboarding and timesheet coordination
- Bachelor s degree (required) any discipline
- Excellent written and verbal communication skills (mandatory)
- Strong organizational and follow-up skills
- Ability to work professionally with employees, vendors, and clients
- Willingness to learn U.S. HR, staffing, and immigration processes
- Comfortable working in an office environment full-time
- 0-2 years experience:
Junior candidates are encouraged to apply - 2-5 years experience: HR, staffing, recruiting, or operations preferred
- Exposure to U.S. workforce models (W-2, H-1B, OPT, TN, C2C) is a strong plus but not mandatory for junior candidates
- 5 days per week in office
- No remote, hybrid, or exception-based arrangements will be considered
- Prior experience with IT staffing or consulting firms
- Familiarity with payroll systems (ADP, Quick Books, etc.)
- Experience coordinating with immigration attorneys
- Knowledge of multi-state employment basics
- Strong communicator who follows through
- Organized and detail-oriented
- Reliable and accountable
- Comfortable handling confidential information
- Interested in building expertise in U.S. staffing and HR operations
