Human Resources Assistant III (Leave of Absence Coordinator)
Location:
Charlotte, NC 28217
Pay Range: $18-$20/hr.
Job Type: Contract 12 months with possible extension
The Leave of Absence Coordinator supports employees through the administration of Short-Term Disability (STD), Family Medical Leave Act (FMLA), and Americans with Disabilities Act (ADA) processes. This role also includes mail support responsibilities and requires strong organizational and communication skills in a fast-paced environment.
Essential Duties and Responsibilities
- Assist employees with STD, FMLA, ADA leave processes, and various Disability plans ensuring compliance with applicable laws and company policies.
- Ability to manage high volume, inbound calls, multiple tasks, multiple priorities, with frequent interruptions.
- Keep records of all call conversations in leave management system in a comprehensible way.
- Update Claim Vantage and Payroll system with leave of absence status.
- Collaborate with Unit Managers, HR, and the Benefits Team to ensure timely communication regarding employee leave status.
- Investigate and resolve discrepancies related to leave requests.
- Educate employees and managers on eligibility requirements for various leave of absences
- Manage Right fax email with timely attaching incoming faxes to associates claim.
- Maintain organized records and documentation using relevant systems.
- Track leave statuses and follow up on required documentation (e.g., medical certifications, extension requests).
Mail Support Responsibilities
- Retrieve and process mail delivered to the Leave of Absence department.
- Review and determine which documents require scanning into the Absence Tracker system.
- Update systems as needed for returned mail.
Qualifications
- Bachelor’s degree or 3+ years of experience in leave administration.
- Knowledge of federal and state leave regulations, including FMLA.
- Minimum of 3 years of customer service experience.
- Strong verbal communication and active listening skills.
- Excellent organizational and multitasking abilities.
- Detail-oriented with strong problem-solving and follow-up skills.
- Ability to thrive in a fast-paced, dynamic environment.
- Proficiency in MS Office Suite.
- Driven and reliable with a strong sense of accountability.
- Self-manager with the ability to work independently and take initiative.
