Position OverviewOur client is seeking a disciplined and versatile Accounting and Operations Specialist to join our back-of-house team. This role is a hybrid of essential financial functions and operational support, requiring someone who can balance technical accounting tasks with a proactive, "all-in" attitude to support the broader team.
The ideal candidate possesses a professional demeanor, a strong sense of urgency, and an unwavering attention to detail. You will be responsible for maintaining the financial health of our projects while collaborating closely with Marketing, Sales, and Operations to ensure the company runs smoothly and efficiently.
Core Responsibilities- Accounts Receivable/Payable: Manage the full AP/AR cycle, including processing checks, reviewing outstanding balances, and ensuring timely payments.
- Invoicing & Collections: Generate and send weekly invoices to clients. Maintain regular, professional communication with clients regarding billing and follow up on collections as necessary.
- Reconciliation & Reporting: Reconcile accounts monthly to ensure accuracy. Prepare comprehensive weekly, monthly, and quarterly financial reports for the CEO.

Collaboration:
Communicate regularly with the Sales team regarding client payment status and escalate significant financial issues to leadership as needed.
- Cross-Departmental Partnership: Work alongside the Marketing and Operations teams, participating in cross-training to provide coverage for high-priority items and ensure business continuity.
- Data & Presentations: Support Marketing and Operations in translating financial data into clear, professional presentations and reports for executive review.
- CRM & Record Keeping: Utilize the CRM and accounting software to maintain accurate records, ensuring all financial data aligns with client project milestones.
- General Office Support: Provide daily administrative assistance and flexibility to support the overall team with varied tasks as they arise.
- Technical Proficiency:
Experience with
Quick Books (or similar accounting software) and advanced skills in Microsoft Excel
. - Attention to Detail: A high degree of accuracy in data entry and financial reporting is essential.
- Communication: Ability to handle sensitive financial conversations with clients and internal team members with professionalism and tact.
- Sense of Urgency: Ability to meet strict weekly and monthly financial deadlines in a fast-paced environment.
- Adaptability: An "all-in" mindset with the flexibility to shift focus between technical accounting and general operational support.
- Experience: Previous experience in accounting, bookkeeping, or a dual-purpose operations role is preferred.
- Systems: Proficiency in Quick Books and experience leveraging a CRM for project or financial tracking is highly preferred.
- Location: Must be able to work 100% in-office at our East Charlotte location.
- Education: A background in Accounting, Finance, or Business Administration is a plus.
