Project Coordinator

Job Description OverviewThe Project Coordinator provides estimating and project management support for multiple projects. They work closely with the project management team, preparing and interpreting flowcharts, schedules, and step‑by‑step action plans. The role requires reading and understanding plans and specifications in the markets Kwest operates in, strong organizational, client‑facing, teamwork, and technical skills, and working knowledge of Microsoft, HCSS, and Primavera. Typically, a Bachelor’s Degree in Construction Management, Civil Engineering, or a related field is preferred but not required.
Responsibilities- Assist in bid preparation with project managers, addressing constructability issues.
- Prepare quantity take‑offs for proposals.
- Coordinate resources with senior project managers, general superintendents, and foremen.
- Represent the company at pre‑bid meetings and project meetings.
- Provide on‑site support to foremen as needed.
- Bid pricing and final submission in support of project managers.
- Review all plans, specifications, addenda, and bid documents.
- Serve as technical/constructability expert during the proposal process.
- Procure subcontractor and material quotes; verify compliance with specifications.
- Summarize additional project requirements such as safety representatives, drug testing, lab services, and insurance; review with management.
- Schedule and complete tasks with minimal supervision.
- Represent Kwest Group professionally in all situations.
- Assist with project management from award to close‑out.
- Attend in‑house pre‑job meetings to review project scope.
- Attend owner pre‑job meetings, preparing schedules and related documents.
- Maintain and distribute original plans and revisions to all affected parties.
- Perform duties in line with Kwest Group’s mission and philosophy.
- Maintain a positive attitude and good working relationships.
- Work experience as a Project Coordinator or similar role preferred.
- Ability to prepare and interpret flowcharts, schedules, and action plans.
- Ability to read & understand DOT‑style plans and specifications.
- Strong organizational, multitasking, and time‑management skills.
- Excellent client‑facing and teamwork skills.
- Strong technical skills, and working knowledge of Microsoft Office Suite.
- Prior experience with HCSS and Primavera preferred.
- Bachelor’s degree in Construction Management, Civil Engineering, or related field preferred.
- Integrity, credibility, and commitment to company values.
- Valid state driver’s license; able to operate a vehicle per company policy.
- 45–55 hour workweek; flexible hours, including evenings and weekends.
- Ability to pass drug, driving, and background screening.
- Contact suppliers and subcontractors for quotes.
- Request accurate reports from foremen, suppliers, and subcontractors.
- Act as company representative to owners and suppliers under presidential direction.
- Schedule and assist subcontractor and supplier management.
- Assist foremen with field/labor issues.
- Request assistance from the President.
Project Coordinators may be considered for project manager roles after a period as a coordinator, with promotion decisions made during annual evaluation.
Working Conditions & Physical Demands- Frequent sitting, talking, hearing, and hand use.
- Regular standing and walking; occasional stooping, bending, or reaching.
- Site travel required.
- Active construction site environment; exposure to dust, noise, heat, cold, and rain.
- Ability to perform repetitive motions and lift up to 50 lbs. over 30 ft.
- Must wear company‑mandated PPE, including hard hat, safety glasses, ear plugs, safety vests, and safety‑toed boots.
- Must have adequate vision; may require corrective lenses or hearing aid.
- Knowledge of occupational hazards and safety practices; must pass 30‑Hour OSHA and First Aid/CPR certifications.
- Complete physical examination per job requirements.
