Overview
The role administers timekeeping and scheduling software, creating daily operations schedules and staffing according to deployment requirements. It involves managing overtime, updating employee profiles, analyzing scheduling data, and communicating with staff and leadership. The position supports payroll processing and provides operational briefings and training related to scheduling systems.
Responsibilities- Administers the timekeeping software. Assigns field and support employees to work schedules through scheduling software. Creates daily operations schedules and staffs according to deployment requirements. Prepares operations schedules using methods that minimize overtime and payroll expenses. Updates employee profiles for qualification, class, and various status changes. Performs advanced scheduling by creating and maintaining unit profiles. Receives and responds to overtime requests and cancellations via scheduling software and email.
- Identifies areas of financial waste and recommends or implements new processes for accountability and efficiency. Monitors scheduling procedures to optimize resource scheduling for call demand.
- Maintains employee records and user access/security roles for the scheduling software system.
- Presents an operational overview to new employees and leadership, including terminology and usage of the scheduling software, and provides training or retraining when necessary.
- Processes payroll for all Agency employees, auditing timecards for accuracy. Investigates payroll issues and prepares corrections for processing as needed.
- Analyzes historical demand, employee attendance, and other scheduling data to inform future planning and forecasting. Uses analytical results to create new shifts or edit current shifts for the annual shift bid and prepares staffing graphs for management review/approval. Manages the balance of unit hour production and demand, and assists in the annual shift bid.
- Maintains scheduling metrics and reports for leadership. Prepares technical reports and visualizations as needed.
- Presents the daily Operations Briefing, including status of response time performance, transports vs. forecast, system workload vs. forecast, analysis of the previous day(s), weekly schedule forecast, late call reasons, and situational awareness of events. Collaborates with Agency departments to obtain reports related to system demand and needs.
- Participates in agency improvement initiatives.
- Supports the Scheduling Specialist as needed. Other duties as assigned by supervisor.
- B.A./B.S. preferred
- Related experience and/or training or equivalent combination of education and experience preferred
- Previous experience with timekeeping/scheduling software and prior knowledge in EMS operations is strongly preferred, however not required
- Experience in general office work and Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook) with the ability to create and maintain databases, transcribe documents, compose correspondence and communicate via e-mail
- Ability to multi-task in a stressful environment while staying organized. Self-directed work style with strong interpersonal, written and oral communication, and customer service skills. Ability to prioritize and manage multiple tasks simultaneously.
- Working knowledge of computer hardware and networking. Ability to solve practical problems and interpret various instructions furnished in written, oral, diagram, or schedule form.
Salary range: $29.40/hr; additional amount based on relevant experience.
