About the RoleThis role begins as an Administrative Assistant to the President, supporting both executive-level coordination and daily administrative operations across our industrial campus.
Over time, as the company’s business scope and external partnerships grow, this position is expected toevolve beyond traditional administrative work to include broader coordination, communication, and external-facing responsibilities. We are therefore looking for someone who isadaptable, reliable, and eager to develop alongside the organization.
The ideal candidate is professional, discreet, and organized, with strong cross-cultural communication skills and the ability to switch comfortably between hands-on administrative tasks and higher-level coordination.
Responsibilities Executive Support- Provide direct administrative and personal support to the President, including scheduling, meeting coordination, travel arrangements, and document preparation.
- Assist with English–Chinese (Mandarin) translation and interpretation for meetings, calls, and written communications.
- Handle sensitive and confidential information with discretion and sound judgment.
- Assist in coordinating and hosting visiting executives, partners, and delegations.
- Serve as a key communication bridge between the President and internal departments to ensure alignment and timely execution.
- Oversee general office administration and facility management, including landscaping, irrigation systems, and vendor coordination for maintenance and services.
- Manage administrative budgets, office supplies, and service contracts.
- Support visa and relocation arrangements for expatriate employees, including coordination with HR and external agencies.
- Maintain organized administrative records and ensure compliance with internal procedures.
- Support process improvements and help establish structured administrative workflows as the company grows.
- As the company expands its business scope, gradually support external communication and coordination with partners, visitors, and institutions.
- Assist in representing the company in a professional and consistent manner when interacting with external stakeholders.
- Support leadership with materials, presentations, and coordination related to partnerships, events, or external engagement.
- Bachelor’s degree preferred, or equivalent professional experience.
- Strong sense of responsibility, integrity, and attention to detail.
- Mature, dependable, and professional demeanor — able to handle confidential matters and represent the company.
- Fluent in both English and Chinese (Mandarin) — excellent written and verbal communication required.
- Strong organizational skills, attention to detail, and ability to manage multiple priorities independently.
- Professional, mature demeanor; able to interact confidently with executives and guests.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Experience with visa or expatriate administration is a plus.
- Occasional flexibility required for meetings with overseas teams or special events.
