The Executive Assistant & Office Manager to the CEO at QC Capital in Charlotte, NC provides strategic executive, investor, and operational support to enable focus on capital deployment and growth. This role manages executive scheduling, investor and client coordination, deal pipeline support, and overall office operations, requiring strong financial acumen, discretion, and the ability to operate autonomously in a fast-paced investment environment.
Key Responsibilities Executive & Personal Support- Manage the CEO’s complex professional and personal calendar, ensuring prioritization, alignment, and efficient time management
- Coordinate domestic and international travel, including itineraries, accommodations, transportation, and expense tracking
- Oversee select personal accounts and administrative matters for the CEO with the highest level of confidentiality and discretion
- Act as a gatekeeper and liaison between the CEO and internal/external stakeholders
- Support investor communications, including correspondence, scheduling, follow-ups, and preparation of meeting materials
- Assist with deal pipeline management by tracking opportunities, maintaining CRM or deal logs, and supporting diligence workflows
- Prepare summaries, presentations, and financial documentation to support fundraising, partnerships, and strategic transactions
- Leverage finance or accounting background to assist with budgeting, expense reconciliation, invoice processing, and financial reporting coordination
- Partner with internal finance teams or external vendors to ensure timely and accurate administrative execution
- Oversee day-to-day office operations, ensuring the workplace is fully stocked, organized, and operating efficiently
- Manage office vendors, service providers, and supply inventory
- Coordinate internal meetings, executive offsites, board meetings, and company events
- Establish and continuously improve administrative processes, systems, and workflows
- Manage client and partner follow-ups on behalf of the CEO to ensure timely communication and relationship continuity
- Draft professional correspondence and represent the CEO with polish and professionalism
- Bachelor’s degree preferred; background in finance, business, accounting, or a related field strongly desired
- 3+ years of experience supporting senior executives, founders, or C-suite leaders
- Proven experience with investor communications, deal support, or executive-level stakeholder engagement
- Strong financial acumen with the ability to understand budgets, financial statements, and transaction workflows
- Exceptional organizational, time-management, and prioritization skills
- Advanced proficiency in Microsoft Office and/or Google Workspace; experience with CRM systems and financial tools a plus
- High emotional intelligence, sound judgment, and the ability to operate with confidentiality and discretion
