Site Operations Lead (Office Manager) –
Location:
Digital Technology Hub, Whitefield, Bengaluru
- Facilities Operations & Service Coordination: governance of Albemarle Hub facilities, space optimization, facilities stock management (utility, housekeeping, office supplies, pantry items, beverages), and coordination of essential services (maintenance, reception, archiving, mailing, cleaning, waste disposal, security).
- Procurement & Vendor Management: support local sourcing for office services, IT support, facilities, logistics, and professional services; coordinate bidding processes; maintain procurement documentation; ensure compliance with policies, regulations and GST; assist with supplier onboarding and due diligence; coordinate contract reviews and renewals; track spend, contract status, and supplier performance; review invoices for accuracy; ensure segregation of duties and escalate policy exceptions;
act as local contact for audits and compliance inquiries. - Contract & Compliance Support: support compliance with Code of Conduct and Conflict of Interest policies;
- Site Operations Budget Management: end-to-end budget planning, consolidation and reporting; assist leadership in tracking actuals versus budget and driving corrective actions; optimize resource allocation and spending.
- Stakeholder Engagement & Reporting: align operational plans with WHQ, regional and site leadership; prepare executive reports, dashboards and financial reviews; support audits and corporate reporting.
- Compliance & Safety Management: ensure facilities meet health, safety and regulatory standards; adhere to workplace safety legislation; own site business continuity planning in coordination with global compliance.
- Emergency Response & Issue Resolution: respond to workplace emergencies and implement solutions to mitigate impact and restore operations.
- Visitor Management: oversee daily visitor operations, coordinate with reception and security, maintain visitor logs and ensure safety and confidentiality; arrange logistics for stakeholder visits.
- IT Town Hall & Event Management: plan and execute IT town halls and internal events; coordinate with IT, facilities, communications and leadership; manage event logistics and feedback; administer IT Asset Management as local POC per IT policies.
- Bachelor’s degree or higher.
- Strong English communication skills (oral and written).
- Minimum 10 years of administrative/facility management experience.
- Experience in establishing VMO, governing vendors, driving RFPs, and contracts.
- Good understanding of GCC ecosystem and enabling drivers; familiarity with employee engagement and CSR support.
- Strong problem analysis and solution skills; proficient in MS Office (Office, Excel, PPT, etc.).
- Proactive, communicative, self-disciplined and results-oriented.
- Preference for familiarity with global tools such as SAP, Concur, Ariba, Workday.
