Role Description

The Accounting and Payroll Coordinator at Aviation Metals is a versatile role that supports critical business functions across finance, administration, and leadership. This position balances responsibilities in accounts receivable, payroll processing, and executive support, while also coordinating in general office operations and assisting with entry-level finance tasks. The ideal candidate is highly organized, detail-oriented, and committed to delivering exceptional service to both internal teams and external partners.

Key Responsibilities Payroll Processing & Reporting
  • Process bi-weekly payroll accurately and on schedule.
  • Prepare and distribute monthly payroll reports with support from the finance team.
  • Ensure all payroll obligations are met, including timely 401(k) deposits and employer contributions.
  • Assist with payroll audits, reconciliations, and compliance items as needed.
  • Maintain confidentiality and accuracy in all payroll-related data.
Accounts Receivable Support
  • Support AR collections with a customer-service–first approach.
  • Follow up with customers regarding outstanding invoices in a friendly, professional tone.
  • Escalate payment concerns to the finance team when needed.
HR Support and Coordination
  • Coordinate new hire candidate sourcing, interview scheduling, and communication for open positions.
  • Serve as liaison with our PEO vendor for payroll, benefits, and compliance matters.
  • Manage onboarding processes, maintain accurate employee records, and ensure confidentiality.
  • Prepare and process workers’ compensation paperwork and assist with compliance documentation (Eg, I-9, EEO etc.)
  • Support employee engagement activities, benefits administration, and general HR-related projects.
Executive Support
  • Provide Administrative assistance to the Executive Leadership Team (Including President, VP, CFO and CSO) as needed.
  • Help with special projects and company initiatives as needed.
Office & Administration
  • Manage office supplies, inventory, and vendor relationships.
  • Coordinate routine office needs (maintenance, shipping, printing, phones, etc.).
  • Organize company files, digital documents, and general administrative workflows.
  • Support vendor onboarding or updates as needed.
Finance & Operations Support
  • Assist with entry-level finance tasks such as:
  • reconciliations
  • monthly reporting preparation
Qualifications
  • High school diploma or equivalent; associate degree in business, accounting, or related field preferred.
  • 1–2 years of experience in office administration, finance support, payroll, or accounts receivable (or willingness to learn).
  • Strong attention to detail and accuracy with numbers; comfortable using Excel or Google Sheets.
  • Proficiency in Microsoft Office Suite; experience with accounting or payroll software is a plus.
  • Excellent communication skills and customer service orientation.
  • Ability to maintain confidentiality, especially with payroll and personnel data.
  • Self-starter with strong organizational skills; able to prioritize tasks and meet deadlines.
  • Curious mindset with willingness to ask questions and learn.
  • Prior office experience is helpful but not required, we will train the right person.
