About Interstruct Charlotte:Interstruct Design + Build is a design-build-development firm reimagining buildings and spaces across the Southeast. As our Charlotte office continues to grow, we’re looking for a high-energy, solutions-oriented Office Manager to be the cornerstone of our operations and support team. You’ll be the first face people see when they walk through our door, and a key player behind the scenes keeping the wheels turning smoothly.
This is not your average admin job. You’ll support project coordination, subcontractor communication, light financial tracking, and permit assistance, all while keeping the office organized and operating efficiently. You’ll work directly with the Principal of the Charlotte office and receive full training and support from our experienced Orlando admin team.
Key Responsibilities- Office Management & Reception
- Oversee daily office operations and maintain a clean, professional environment.
- Welcome guests and clients with professionalism and warmth.
- Order supplies, manage filing systems, coordinate mail and deliveries.
- Project Support
- Assist project managers with administrative needs including subcontractor onboarding, document control, and bid solicitation.
- Help track and manage permits, deadlines, and submittals.
- Maintain and update project logs, contacts, and status sheets.
- Accounting & Finance Assistance
- Assist with data entry, invoice coding, and vendor communication.
- Support the project accounting process using tools like Excel and Quick Books (training provided).
- Reconcile receipts and prepare documents.
- Team & Culture
- Represent the Interstruct brand with professionalism and personality.
- Attend occasional events and be a personable, helpful presence to clients and colleagues.
- Take initiative, solve problems, and support wherever needed — no task too big or small.
- 1–3 years of experience in office administration, project support, or a related role.
- Strong organizational skills and the ability to juggle multiple priorities.
- Excellent communication and interpersonal skills.
- Comfortable with Excel, data entry, and learning financial tools like Quick Books.
- Detail-oriented and dependable, someone who can own their responsibilities without constant direction.
- A positive, “how can I help?” attitude and a desire to grow with the company.
- Willingness to travel for up to 6 months of paid training at our Orlando headquarters (flexible accommodations provided).
- Experience in the construction, architecture, or development industry.
- Familiarity with permitting processes or subcontractor documentation.
