The Veteran Program Manager plays a critical administrative and operational support role for The Independence Fund’s Veteran Services team. This position provides high-level coordination, execution, and operational support to the Deputy Director of Veteran Program sand the staff overseeing five core programs:
Operation Resilience, Mobility, Caregiver, Family, and Feeding Independence.
The Independence Fund is alead-from-the-front, mission-driven organization. In this role, the Veteran Program Manager is expected to operate as a proactive, solutions-oriented leader who takes ownership of responsibilities, communicates clearly, and ensures consistent execution across programs. This is a fast-paced, detail-oriented role ideal for someone who excels at database management, organization, multitasking, and supporting senior program leadership while ensuring high standards of accuracy, professionalism, and follow-through.
The Veteran Program Manager ensures program operations run smoothly by maintaining accurate records, supporting logistics, managing data and reporting, coordinating travel, and assisting with day-to-day administrative and operational needs across programs.
The Independence Fund operates on Eastern Standard Time (EST) regardless of employee location. Some evening, weekend, and holiday work, as well as limited travel, may be required.
Key Responsibilities- Program & Operational Management
- Provide operational and administrative leadership support to the Deputy Director of Veteran Programs and Program Managers across five Veteran Services programs.
- Coordinate scheduling, documentation, workflows, and follow-up related to program activities, events, and deadlines.
- Support and oversee application processing, recordkeeping, and internal tracking across multiple programs simultaneously.
- Anticipate operational needs, proactively identify issues, and propose solutions to ensure program execution remains on track.
- Support the translation of program activity into clear documentation, summaries, and updates that enable leadership, Development, and Communications to accurately reflect program impact.
- Database & Data Management
- Maintain accurate, up-to-date program records using Microsoft databases (Microsoft Access preferred).
- Enter, update, audit, and validate data to ensure accuracy, integrity, and compliance with internal standards.
- Create, manage, and maintain spreadsheets for tracking applications, awards, inventory, travel, and program metrics.
- Generate reports and data summaries for leadership, Program Managers, and Communications to support reporting, storytelling, and decision-making.
- Coordinate and book travel arrangements for staff, Veterans, and program-related events as directed.
- Track expenses and maintain documentation related to travel, lodging, and program logistics.
- Assist with procurement tracking, shipping coordination, and inventory support when needed.
- Serve as a dependable internal communications partner to Program Managers and the Deputy Director of Veteran Programs.
- Coordinate with the Communications team as needed to ensure accurate representation of program activities, metrics, and Veteran impact.
- Respond professionally and promptly to internal and external inquiries.
- Collaborate effectively with Programs, Casework, Operations, Development, and Communications teams.
- Contribute to a collaborative, accountable, and solutions-oriented team culture.
- Demonstrate initiative, sound judgment, and ownership of responsibilities without requiring constant supervision.
- Uphold ethical, Veteran-centered practices and The Independence Fund’s mission and values in all interactions.
- Strong administrative, operational, and organizational skills with the ability to manage multiple priorities.
- Demonstrated experience working with databases;
Microsoft database experience strongly preferred. - Advanced proficiency in spreadsheets (Excel or similar), including tracking, data organization, and reporting.
- High attention to detail and accuracy in data entry and recordkeeping.
- Ability to work independently, meet deadlines, and adapt in a fast-moving environment.
- Strong written and verbal communication skills.
- Professional, dependable, and service-oriented mindset.
- Experience supporting nonprofit, veteran-focused, healthcare, or human services programs.
- Familiarity with CRM or case management systems.
- Experience coordinating travel or logistics for teams or events.
