Position OverviewThis role serves as receptionist and scheduler for a wealth management firm with over 800 client families. The Assistant Office Manager offers a warm and professional welcome to clients when they enter the office and when they contact the firm by phone. This role connects clients and prospects with the appropriate team member and assists in the smooth operation of a fast‑paced and friendly financial advisory office.
This role is responsible for managing the scheduling of all internal and external meetings, on‑site and off‑site.
- Greet clients upon arrival and extend hospitality to clients
- Answer incoming calls and direct accordingly
- Manage scheduling system for team of advisors and associates
- Review and respond to emails promptly
- Co‑manage a fast‑paced and lively office
- Exceptional communication skills, both written and verbal
- Effective communication with clients and colleagues
- Ability to multitask
- High attention to detail and highly organized
