Job Description Summary
The Executive Assistant is a trusted, creative and detail‑oriented professional who provides comprehensive administrative support to the Dean and the team of the rapidly growing School of Professional Studies (SPS). The role manages schedules, travel plans, and correspondence to ensure optimal allocation of time, effective communication, and robust preparedness for meetings and events. It also involves planning and coordinating team and committee meetings, school‑wide events, and handling complex, confidential projects with discretion and independent judgment.
EssentialFunctions
- Strategic Calendar Management: manage the Dean’s calendar and travel plans, independently triage routine challenges, and provide proactive meeting preparation to optimize the Dean’s time.
- Institutional Memory and Systems: document the annual cycle of events and meetings, refine and develop new office procedures to support efficient operations.
- Primary Point of Contact: serve as the primary liaison for the Dean with internal and external stakeholders, manage communication and support issue resolution.
- Meeting Lifecycle Coordination: direct the annual cycle of leadership and team meetings, retreats and other school‑wide events; handle scheduling, agenda drafting, pre‑read materials, logistics, follow‑up on action items, and anticipate changes.
- Special Projects: support administrative functions (HR, facilities, IT) by completing projects, tracking progress, and ensuring efficient operations.
- Remote Campus Liaison and Visitor Management: manage visit logistics, create itineraries, arrange facility access, provide professional greeting, and refer to appropriate teammates.
- Research and Communications: conduct primary and secondary research and analysis to prepare sensitive and confidential reports.
- Operational Transition and Growth: act as an operational anchor during periods of growth and structural change to ensure continuity as the school expands.
- Bachelor’s degree plus at least five years of executive‑level administrative support experience, or equivalent combination of education and experience.
- Well‑organized with strong attention to detail and a focus on high accuracy and efficiency.
- Strong agility and adaptability in responding to changing priorities.
- Comprehensive knowledge of office management best practices.
- Proficiency in cloud‑based office tools (Microsoft Office, Google platforms, and other relevant software) and standard office equipment.
- Strong professional communicator with effective interpersonal skills; capable of delivering information clearly, listening actively, and responding appropriately.
- Prior experience in higher education institutions.
- Experience in project and event management.
- Proficiency in project management frameworks or tools for tracking multi‑phase initiatives.

- Responsible for own work.
This position is based in Charlotte, North Carolina, with regular engagement across Wake Forest’s Winston‑Salem campus and other university locations. The role requires occasional travel between Winston‑Salem and Charlotte and occasional evening or weekend commitments for school‑wide events.
