Office Administrator/ Coordinator, Business Administration, Data Entry
The Accounting and Billing Administrator reports to an Office Manager and assists in achieving assigned divisional goals and objectives in accordance with the existing company policies and procedures. An Accounting/Billing Administrator's responsibilities include, but are not limited to, the following:
Primary Responsibilities- Answer telephones, direct calls to proper personnel, take and forward messages, answer routine questions and follow-up on routine requests.
- Maintain internal filing systems. (Employee Files, Job folders, Vehicle assignment)
- Prepare weekly payroll and send any necessary reports/forms to HR and payroll.
- Order office supplies.
- Assist Office Manager with phone assignments, additions, and corrections for technology equipment, and maintain spreadsheet. (Form 505)
- Clear job invoices, g/l expense, (division invoices) and Employee Tool Purchase invoices.
- Complete pay apps.; (monthly Billings) send pay apps to Office Manager for review
- Prepare, archive, and transmit documents and reports including but not limited to:
- Weekly Vehicle Usage Report.
- Monthly Vehicle Assignment Report.
- Ensure assigned calendar items (daily, weekly, monthly) are performed accurately and on schedule.
- Maintain and set-up filing systems in the areas of, but not limited to:
- Payroll files.
- Personnel files.
High School Graduate or holder of G.E.D. Notary Public preferred, but not required.
Experience2 years of Accounting experience or equivalent Watson training is preferred to ensure all aspects of position are performed efficiently and productively while operating in accordance with policies and procedures of the company.
SoftwareExperience in the following software is preferred:
- Excel
- Word
- Smartsheet
- Viewpoint-Payroll Time Entry
- Viewpoint-Spectrum
- eSub
- Procore
- Plan and coordinate multiple activities.
- Evaluate information and analyze problems logically to develop solutions.
- Take and follow orders.
- Maintain and secure confidential information.
- Work independently.
- Make decisions based on personal judgment.
- Foster and maintain agreeable working relationships.
- Possess superior automation and time management skills.
- Familiar and capable with all Microsoft Office Applications, as well as Adobe PDF documents and fillable forms.
