Overview
Global Support and Development is hiring a full‑time, in‑person C‑Suite Executive Assistant at its Charlotte, N.C. headquarters. The role supports the Chief Operations Officer, Chief Program Officer and the rest of the executive team, managing high‑priority schedules, confidential correspondence and travel logistics.
Job Responsibilities- Anticipate and manage administrative needs for the COO and CPO, deconflicting schedules and coordinating meetings with internal and external stakeholders.
- Support day‑to‑day coordination of program design and operations units, enhancing coherence across teams.
- Prepare agendas, briefing materials and presentations for key meetings; ensure follow‑up actions are documented and executed.
- Act as primary point of contact for internal and external inquiries, filtering and prioritizing communications.
- Plan and coordinate team off‑sites, leadership retreats and other organizational events, including venue sourcing, vendor management and budget tracking.
- Handle domestic and international travel logistics (flights, accommodations, visas, ground transportation) and maintain itineraries.
- Prepare, reconcile and submit expense reports; manage Salesforce CRM data entry for relationship and contact management.
- Assist with coordination of projects and strategic initiatives led by the Chief of Staff and the broader executive team.
- Up to 25 days of accrued vacation

- Seven (7) or more years of executive assistant experience to senior leadership.
- Experience supporting both in‑office and remote staff.
- Project management experience; certification preferred.
- Bachelor’s degree in Business Administration or a related field, or equivalent experience.
- Proficiency with Google Suite.
- Exceptional written and verbal communication, including proofreading and editing.
- Strong organizational skills, attention to detail, and ability to handle multiple high‑priority tasks simultaneously.
- Ability to travel domestically and internationally; fluency in Spanish and/or French is desirable.
- Cultural awareness and collaboration across diverse stakeholder groups.
Work is performed in an office setting. Routine tasks include sitting at a computer for extended periods and occasional lifting of items up to 20 pounds. Routine domestic and international travel up to 10% of the time is required.
