Overview

The Office of General Counsel at the College of Southern Nevada seeks a motivated individual to provide paraprofessional, technical, and administrative support. This position manages OGC budget, finance, strategic planning, divisional business processes, and legal assistance in support of the Office of General Counsel. This is a full-time, 100.0% position reporting to the General Counsel.

Job Description

This role provides a broad range of routine paraprofessional, technical, and administrative support services to the Office of General Counsel (OGC). Principal duties include but are not limited to the following:

  • Provide legal secretarial and administrative support services for the General Counsel.
  • Monitor OGC budget activities; prepare and analyze budget reports; process supplier invoices.
  • Gather, summarize, and prepare reports related to outside counsel engagements and litigation expense reimbursements.
  • Under attorney supervision, assist with drafting, preparation, proofreading, processing, and filing of legal documents; prepare and print letters, legal documents, reports, and related materials.
  • Manage calendars and time-sensitive deadlines for claims, litigation, other legal proceedings, and OGC meetings.
  • Conduct general and legal research using relevant statutes, case law, and administrative rules; utilize internal and external databases.
  • Compile and organize evidence for administrative agencies and respond to public records requests and subpoenas.
  • Perform Bates-stamping, redaction, duplication, and indexing of documents; establish and maintain orderly files and tracking systems.
  • Categorize documents by subject matter; prepare chronology of facts and production charts under attorney guidance.
  • Prepare, calendar, and file pleadings and other court documents.
  • Coordinate receipt of relevant documents for responses to public records requests and subpoenas.
  • Serve as liaison among the OGC, clients, attorneys, internal departments, external agencies, and courts.
  • Receive, screen, and refer visitors and clients; schedule appointments and handle phone communications for the OGC.
  • Become knowledgeable in applicable Court Rules (including Eighth Judicial District Court Rules, Nevada Rules of Civil Procedure, Nevada Appellate Court Rules, Ninth Circuit Rules), Board of Regents Handbook, CSN policies, and related procedures.
  • Proficiency in Wiznet/Odyssey and PACER; ability to multitask, stay organized, work under time pressure, work independently, prioritize workload; familiarity with Westlaw, Lexis Nexis, or other legal research tools.
  • Perform other paralegal and/or administrative duties as needed.
Required Qualifications
  • Bachelor's degree from an accredited college or university or equivalent combination of education and experience in business management, paralegal studies, or related field.
  • Notary public or ability to become a Nevada notary within 6 months of hire.
  • Certificate of Completion from a paralegal program or Legal Assistant Program.
  • Minimum of four (4) years of experience performing administrative, legal, office, and/or paralegal tasks in support of multiple attorneys.
Preferred Qualifications
  • ABA-approved paralegal certificate.
  • Six (6) years of executive-level legal/administrative/paralegal support for multiple attorneys.
  • Experience in the public sector or higher education.
  • Ability to work within and navigate the Workday system.
Knowledge, Skills, and Abilities

Knowledge

  • Legal terminology, concepts, and procedures relevant to a public sector entity.
  • Knowledge of legal rules and procedures in federal and state courts and administrative bodies, including Nevada and Ninth Circuit rules.
  • Basic legal research methods using Lexis Nexis and/or Westlaw.
  • Basic knowledge of legal office operations and record keeping.

General Knowledge

  • Familiarity with state and federal purchasing and budget procedures.
  • Working knowledge of NSHE and CSN.
  • Working knowledge of office equipment and legal research databases.
  • Understanding and sensitivity to diverse backgrounds of students and employees.

Preferred:

  • Working knowledge of state public records law.

Skills

  • Strong computer and legal research skills; proficiency in court e-filing; proficiency with Microsoft Office Suite and Adobe Acrobat.
  • Strong organizational skills and the ability to shift priorities as needed.
  • Excellent analytical, written, and oral communication skills.

Abilities

  • Ability to research, analyze data, and present recommendations.
