SummaryThe Department of Otolaryngology – Head & Neck Surgery seeks an Administrative Coordinator to support a subset of department physicians and advanced practice providers, performing division administrative tasks under general supervision.
Responsibilities- Provide administrative support to assigned department physicians (25%): track and schedule academic appointments, manage leave via Workday, monitor clinic schedules, adjust for absences, track license renewals & CME credits, organize academic work, schedule meetings, take minutes, distribute mail, maintain CVs, prepare presentations.
- Administrative and patient coordination (20%): support multiple divisions, collaborate with clinical team to complete administrative tasks for complex procedures and surgeries, monitor pre‑cert, schedule P2P, fax appeals, communicate with vendors, triage patient calls, request documents, assist nurse coordinator with multidisciplinary appointments.
- Maintain divisional calendars (15%): create meetings, coordinate conference rooms, physician‑to‑physician consults, fellowship interview scheduling.
- Perform administrative tasks for Vice Chair for Finance and Administration, faculty, students, visitors: procure documents for reimbursement, order supplies, support critical deadlines, special projects related to clinical education, clinic operations, answer patient calls and document needs or route calls.
- Respond to electronic messages (15%): coordinate with department physicians, referral management for complex or overbooking needs, patients via EPIC/MyChart, send electronic notes to referring providers.
- Word processing, document editing, data entry (5%).
- Other duties as assigned (5%).
Minimum requirements:
a high‑school diploma with four years of relevant experience in business management, public administration or administrative services; or a bachelor’s degree with two years of experience in the same fields.
- Continuous 6‑8 hours per shift: upright position.
- Frequent 2‑6 hours per shift: seated position, walk/mobile.
- Continuous: work indoors.
- Infrequent: work outdoors in all weather, confined spaces, kneeling, bending at waist, squatting, pinching, use both hands/arms, repetitive motions, reach, maintain vision, hearing, dusted areas.
- Carry up to 15 lbs unassisted, lift from floor to 36 inches, lower objects from 36 inches, push/pull up to 15 lbs.
- Maintain vision 20/40 corrected, hand/leg motion, hearing to understand whisperings at 3 feet.
