Job Summary

The Grant Administrator reports to the Director of Research Administration & Finance and coordinates complex administrative, research, and business management activities for the Department of Drug Discovery & Biomedical Sciences and the College of Pharmacy. Act as liaison with other university departments, administer all pre‑award and post‑award grant activity, serve as subject‑matter expert on federal funding guidelines (NIH, NSF, DOD, etc.),

and train faculty, staff, students, and post‑docs on grant preparation and award management.

Key Responsibilities
  • 10% Responsible for the development and preparation of operational and statistical reports to assist the Director in tracking key metrics for research and strategic initiatives. Establish procedures for data extraction and validation, coordinate effort reporting for grants and contracts, maintain fixed‑asset database, and create robust Workday reports.
  • 20% Manage all aspects of the pre‑award cycle, provide administrative, fiscal, and technical guidance to faculty and graduate students, assist with funding opportunity identification, research regulations, oversee grant and contract submissions, calculate budgets, and enter proposal data into MUSC IS systems.
  • 25% Manage the COBRE P30 Award, communicate with core directors and pilot recipients, review procurement activity, ensure accurate annual progress reports, assist with human‑resources functions, coordinate Center‑wide events, and administer pilot awards.
  • 15% Manage the post‑award cycle, maintain proposal and funding records, monitor and approve expenditures, advise on allowable costs, work with stakeholders on accounting issues, provide budget-to‑actual and effort distribution reports, oversee payroll allocations, conduct trend analysis, collaborate on NIH progress reports, and maintain a research administration calendar.
  • 30% Manage the post‑award cycle in partnership with ORSP and GCA, handle subcontracts, reconcile budgets, initiate payroll costing and accounting adjustments, approve transactions in Workday, and lead no‑cost extensions.
  • 5% Coordinate onboarding of research support personnel, work with PIs to identify sponsored research funding for students and staff, maintain position descriptions, and collaborate with the College Business Manager and Graduate Studies for student support.
  • 5% Develop the annual research budget for the department, submit data to the Dean’s Office, and provide interim forecast and variance updates.
  • 5% Serve as lead administrator over the department’s research cores, conduct rate studies, prepare invoices, allocate resources, track collections, and assist with annual reporting.
Minimum Requirements

A bachelor's degree in business administration, public administration, or the social sciences and four years of experience in contracts and grant administration activities.
