Vanta Diagnostics is a molecular pathogen laboratory headquartered in downtown Charleston, South Carolina. We are seeking a dependable and detail-oriented Administrative Specialist to serve as the primary phone operator and to manage all incoming mail and payer correspondence. This role is the first point of contact for the organization and plays a critical part in maintaining accurate communication flow, timely mail processing, and professional customer interactions.
Job Duties- Receive, open, and process all incoming mail daily
- Accurately sort mail by EOBs, payer correspondence, payments, and general mail
- Scan and upload payer documentation to the billing company and shared folders
- Monitor incoming electronic faxes for payer notices, EOBs, virtual payments, and related correspondence
- Remotely deposit checks received via mail in accordance with company procedures
- Professionally answer and manage all incoming calls as the organization’s main phone operator
- Assess caller needs by asking appropriate questions and route calls accurately and efficiently
- Provide clear, accurate information for basic inquiries while maintaining confidentiality
- Maintain a courteous, calm, and professional demeanor with all callers
- Collaborate closely with internal teams to ensure timely distribution of correspondence
- Follow established policies and procedures, especially regarding sensitive health and financial information
- Maintain reliability, discretion, and accuracy in all administrative tasks
- High School diploma or GED
- 2+ years of experience in an administrative, front-desk, call center, or customer service role with high call volume
- Healthcare administrative experience required, including direct familiarity with insurance payer correspondence such as EOBs, notices, payments, and records requests
- Demonstrated ability to manage multiple priorities simultaneously while maintaining accuracy and timeliness
- Strong verbal communication skills with a professional, confident phone presence
- Proven reliability and consistency in attendance and task completion
- Proficiency with Microsoft Office (Outlook, Word, Excel) and routine use of office technology, including:
- Multi-line phone systems
- Electronic fax platforms
- Scanners and secure file uploads
- Ability to handle confidential and sensitive information with discretion and sound judgment
- Background check and drug test required
- Prior experience working with medical billing teams or third-party billing vendors
- Experience in a laboratory, clinical, or diagnostic healthcare setting

Job Type is full time onsite. The salary is $19/hour to $21/hour depending on experience.
