Job Summary
We are looking for a reliable, motivated professional who wants to play a key role in helping our organization operate smoothly, efficiently, and confidently.
The Operations Coordinator is a hybrid role combining executive support, administrative excellence, and project coordination. We don’t require experience in the sign industry — we will teach that. We are looking for someone who is organized, proactive, positive, and eager to learn how different parts of a business work together.
This role works closely with ownership and plays a critical part in company stability, communication, and execution.

Key Responsibilities Executive & Administrative Support- Provide high-level administrative support to the owner, including scheduling, calendar management, and preparation of documents.
- Serve as meeting secretary: capture notes, track action items, and ensure follow-through.
- Handle daily administrative tasks: scanning, filing, laminating, and general organization.
- Oversee shipping and fulfillment: create UPS labels, schedule freight shipments, and maintain the shipping area.
- Support daily office operations, including supply management, vendor coordination, and facility upkeep.
- Prepare internal reports, presentations, and proposals.
- Contribute to the development of operating procedures, manuals, and systems.
- Assist with financial tasks such as invoicing, budgeting, and expense tracking.
- Organize team meetings and company events, including logistics, agendas, and follow-ups.
- Track project deadlines, schedules, and deliverables — keeping workflows organized and moving forward.
- Use project management systems to prioritize tasks, manage production workflows, and consolidate jobs.
- Manage the sign permit application process.
- Source, vet, and manage nationwide subcontractors for surveys and installations.
- Support national account projects by handling Requests for Quotes, Work Orders, and subcontractor logistics.
- Oversee installation schedules and ensure smooth execution between internal and external teams.
- Support local projects with inside-sales-style communication and coordination.
- Learn all major functions of the business to provide flexible, well-rounded support.
- Participate in business improvement initiatives and help strengthen our operating systems.
- Support company culture by contributing to teamwork, communication, and accountability.
- Perform occasional errands, deliveries, and general office duties as needed.
- Assist in any capacity required to ensure customer satisfaction and team success.
- Proven experience in administrative support, office coordination, or similar roles.
- Exceptional organizational skills with high attention to detail.
- Strong written and verbal communication skills with a professional, friendly demeanor.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and general office software.
- Ability to manage multiple tasks, priorities, and deadlines in a fast‑paced environment.
- Customer‑service mindset with strong interpersonal skills.
- Basic understanding of budgeting, invoicing, or financial processes is an asset.
