SummaryThe Assistant Entertainment Booking Manager acts as a link between live booking, talent agencies, management, and artists. This position works directly with entertainment operations, artist talent and management agencies, including tour and production managers. Additionally, regular communication across PENN Entertainment venues is required to assist with artist financial offers and venue programming. The entertainment contract administrator will report to the Assistant Entertainment Booking Manager, to facilitate contracts, payments, and tax and vendor forms.
Review edits to performer contracts including mark-ups, tracking, processing, and storing final executed agreements. Gather all relevant information related to contracts from talent agencies and management, ticketing, and property teams.
- Review specific riders for production and hospitality. Submit all edited contracts to the manager and various property teams for review before trafficking to all relevant parties.
- Provide support in collecting insurance documentation and other venue specific documentation needed for contracts and performances.
- Reviewing processes with other team members to provide redundancy.
- Research and keep up to date with industry relevant news and tech.
- Maintain administrative duties – organizing show files, developing artist pitch sheets, updating budget sheets, tracking ticket counts, etc.
- Assist procurement to execute contracts and payments.
- Obtain all details and show information from artist representatives and act as communications liaison between artist and venues.
- Perform other job-related duties as requested, such as box office management or show production needs.
- Send final settlement numbers for all PENN shows to talent agencies
- Report final ticketing number on all PENN shows to major trade publications such as Pollstar
- Monitor and update hold status for show dates across PENN
- Monitor and source new events like tribute and variety act shows
- Monitor all incoming artist availabilities and do research and due diligence on said artist
- Assist in the monitoring of show production across PENN shows.
- Submit offers on behalf of PENN Entertainment as needed
- Update and monitor all fees, offer submissions, deadlines for all PENN shows
- Assist in finding new artists and show ideas across PENN properties
- Provide support beyond standard business hours
- Provide general administrative support as requested
- Monitor contract and deposit deadlines
- Maintain tax forms and vendor documents
- Manage internal documentation using internal booking systems, calendars and ticketing schedules
- Maintain booking calendar
- Must be willing to travel as needed
- Bachelor’s degree (B.A./B.S.) from four-year college or university in marketing, finance or related area preferred; experience in multiple communication channels including direct mail, e-mail, and social media; or equivalent combination of education and experience.
