Chantilly, VA or Huntsville, AL – 80% remote
This role is listed as temporary, but there is a possibility of conversion depending on both the contract team's workload and the performance of the candidate.
The candidate in this role will bridge the current gap of the contracts team, ensuring daily operations remain seamless while the Director of Contracts and Senior Contracts Manager build out the process, procedures, and automated infrastructure necessary to support the company’s next phase.
Key ResponsibilitiesA Contracts Administrator would assume responsibility for core administrative and lifecycle management functions, including:
- Perform cradle to grave contract administration duties
- Set up initial contract and order files
- Review and process orders, contract awards, and modifications
- Coordinating reviews, approvals, and internal contracts communications for orders, awards, and modifications
- Draft official announcements to notify internal stakeholders of orders, contract awards, and modifications
- Ensure all contract documents comply with company standards and regulatory requirements
- Maintain organized, accurate, and up-to-date contract and order files, which include electronic files
- Track key dates for contract and order milestones, deliverables, option exercises, modifications, funding runout, and period of performance expiration
- Assist in monitoring adherence to contractual obligations and project specifications
- Serve as a liaison between internal stakeholders such as project managers, finance, and procurement teams
- Respond to inquiries regarding contract terms, conditions, and status updates
- Generate reports on contract performance, costs, and compliance metrics
- Support audits and provide documentation as needed
- Research and respond to closeout requests
- Solicitation & Risk Analysis:
Conduct comprehensive reviews of RFP/RFQ documents to identify contractual risks, non-standard terms, and compliance requirements, providing a critical "first-look" analysis for leadership. - Stakeholder Coordination & Submission:
Collaborate with internal stakeholders to complete, compile, and finalize all required contract proposal documentation and manage the formal submission process to the customer. - Under contracts leadership supervision, conduct initial reviews, drafts, and redlines for various agreements, including NDAs, TAs, and Terms and Conditions
- Bachelor's degree with 2+ years of related experience in contracts administration
- Will consider 4+ years of related experience in contracts administration in place of a degree
Skills and Abilities
- Self-starter with the ability to work independently
- Knowledge of the practices, procedures, and processes involved in contract administration
- Knowledge of relevant laws, regulations, terms, conditions, and policies governing assigned contracts, including FAR/DFAR and applicable Agency Supplements for Government agencies
- Effective administrative and organizational skills
- Effective communication skills, both oral and written
