Job DescriptionThe HOA AP Administrator has the primary responsibility of performing day to day bookkeeping tasks for a variety of community associations.
Essential Duties And Responsibilities- Approves all VA HOA invoices (Checks and verifies to make sure information is accurate).
- Handles the voids & reissues for all HOA properties.
- Answers all VA HOA AP emails and phone calls.
- Codes & Scans all utilities & other invoices.
- Responds to Emergency Check Requests.
- Updates Vendor addresses in in the database.
- Handles phone payments and online payments.
- Manages Vendor Maintenance thru Branch Access.
- Handles VA HOA Branch Vendor Maint Queue in the database.
- Transition In Associations -- Updates billing addresses and adds vendors in Branch Access.
- Input Reimbursables in the system.
- Other duties as requested.
- Analytical skills to evaluate, prioritize, and categorize data in various forms and formats.
- Perform calculations and analysis used in basic accounting.
- Knowledge of accounting principles, practices, and procedures.
- Knowledge of Microsoft Office products (Word, Excel, Outlook, etc.) at a proficient level. Experience using Tops Software is a plus.
- Knowledge of conflict resolution techniques at a proficient level.
- Professional communication skills (phone, interpersonal, written, verbal, etc.).
- Self-motivated, proactive, detail oriented and a team player.
- Time management and time critical prioritization skills.
- High School Diploma or GED Required.
- 1+ year of directly related or closely related experience.
- Prior accounting and reconciliation experience is preferred.
