Job Description
Associa is hiring a Lead Administrative Mailroom Associate for its corporate office in Chantilly, VA.
Work hours:
Mon.
- Thurs. 8:30 am - 5:45 pm and Friday 8:30 am - 2 pm.
- Process incoming and outgoing mail and mail requests.
- Manage all mailings to homeowners and (522) communities in the DMV area, averaging 4,000-8,000 pieces of mail per day.
- Receive mail requests from onsite managers and portfolio managers.
- Process mailings, print and proof mail for grammar usage, print labels.
- Ensure correct stationary and letterhead is used.
- Ensure complete letter is stuffed in the envelope.
- Ensure correct labels are put on each piece of mail.
- Ensure the correct piece of mail is mailed out to the correct community.
- Mail out mailings to each community by using folding equipment and hand stuffing mail.
- Mail proof-of-mailings to corporate office.
- Manage pool passes, verify accounts are not delinquent, enter onto spreadsheet.
- Retrieve mail from PO box.
- Manage metered mail.
- Manage equipment and equipment maintenance vendors.
- Order office supplies.
- Cross train in billing.
- Data enter billings and administrative charges.
- Receive payments, stamp in checks, and give to bookkeeper to process.
- Other duties as assigned.
- High school diploma is required.
- Customer service driven; team oriented.
- Excellent communication skills used (written and verbal); conflict resolution techniques.
- Ability to review and audit correspondence, ensuring correct grammar is used.
- Ability to work in a high volume and fast paced work environment.
- Proactive, takes initiative, has attention to detail, and strong grammar skills.
