XMSTART is looking to add an experienced and strategic full-time Administrative Support Specialist to our team, in Chantilly, VA. This position is 100% Onsite.

This Administrative position provides support for the front office and other divisions. The candidate will facilitate seamless operational support through scheduling, correspondence management, travel coordination, and records management, in accordance with organizational directives and policies.

Security Clearance Requirements
  • Active TS/SCI clearance with FS Poly
Responsibilities
  • Manage all aspects of Senior Executive Daily agenda to include scheduling appointments, preparing travel itineraries, schedule Very Important Person (VIP) parking, and making arrangements
  • Schedule management appointments and meetings, research and prepare background information on meeting attendees and/or topics of interest for the meeting
  • Answer routine telephone calls, direct calls, and take messages, greet and escort visitors, draft, proofread, edit and coordinate correspondence
  • Retrieve, sort, and distribute incoming mail, faxes, and other documents
  • Perform research and retrieve information from databases and other resources
  • Arrange for delivery of outgoing mail/packages
  • Assist in ordering supplies/equipment and arranging office equipment repairs
  • Track career service panel dates and deadlines
  • Document, coordinate, and track DAG action items
  • Compile and edit internal and external briefing packages
  • Maintain office schedule, schedule conference rooms, coordinate meetings
  • Perform typing and filing
  • Prepare, proofread, and edit correspondence, ordering office supplies
  • Prepare and coordinate travel/training arrangements for official government business for office leadership personnel (Harm’s Way, OCONUS and CONUS)
  • Prepare accounting vouchers for the program office, and Provide ad-hoc support to other office management, staff, and external customers
Preferred Qualifications
  • Excellent oral and written communication skills
  • Strong written correspondence skills
  • Ability to synthesize complex actions and adhere to tight deadlines
  • Ability to work independently with minimal supervision.
  • Deliver on commitments be reliable, highly organized and structured
