Partners Dental Solutions is seeking a highly capable, forward-thinking Executive Administrative Assistant to serve as a strategic partner to the CEO. This role is designed for a professional who thrives in high-accountability environments and is motivated by meaningful impact and long-term growth.

More than traditional executive support, this position provides visibility into leadership decision-making, operational strategy, and multi-entity business coordination. The ideal candidate is proactive, business-minded, highly discreet, and capable of thinking several steps ahead while executing with precision.

Key Responsibilities Executive Partnership & Strategic Calendar Leadership
  • Own and manage the CEO’s dynamic calendar, aligning time with strategic priorities and business objectives
  • Evaluate incoming requests and determine appropriate prioritization and delegation
  • Prepare executive briefing materials, summaries, and decision-support documentation
  • Draft and manage high-level correspondence on behalf of the CEO
  • Anticipate scheduling conflicts and proactively resolve competing priorities
Leadership & Meeting Coordination
  • Coordinate executive and leadership meetings, ensuring clarity of purpose and preparedness
  • Develop agendas, organize supporting documentation, and prepare presentations
  • Capture meeting notes and manage follow-through on key action items
  • Support cross-departmental communication to ensure alignment on initiatives
Vendor & Multi-Business Operations Management
  • Oversee coordination with key vendors, consultants, and service providers
  • Manage contracts, renewals, and executive-level service agreements
  • Support operational arrangements across affiliated business entities
  • Assist in evaluating vendor performance and identifying process improvements
  • Manage and reconcile executive expenses and corporate credit card activity
  • Monitor recurring services, subscriptions, and executive-level operational costs
  • Assist with data gathering and reporting to support leadership decision-making
Project & Initiative Support
  • Assist with high-priority strategic initiatives, research, and data analysis
  • Build systems and processes that increase organizational efficiency
  • Track critical projects and ensure deadlines are met
  • Identify potential operational gaps and propose thoughtful solutions
Confidential Executive Support
  • Handle highly sensitive business and personal matters with discretion
  • Support personal scheduling and coordination as needed
  • Serve as a trusted and reliable extension of executive leadership
Qualifications
  • 5+ years of executive-level support experience, preferably supporting C-suite leadership
  • Strong business acumen and comfort operating in high-level decision environments
  • Experience managing vendors, contracts, and external partners
  • Excellent written and verbal communication skills
  • Exceptional organizational and prioritization abilities
  • High emotional intelligence and professional maturity
  • Advanced proficiency in Microsoft Office and Google Workspace
  • Demonstrated ability to anticipate needs and operate independently
  • Calm, solutions-oriented mindset in fast-paced or high-pressure situations
