Description
Under the daily supervision of the Accounting Manager, the Library Accounting Assistant will use standard accounting practices and financial software to process invoices, prepare and submit payments to vendors. The Accounting Assistant will work with all aspects of financial software including but not limited to accounts payable, general ledger and account reconciliation. Some general office and reception duties are also required.
Assists other Administrative Office staff with reception and clerical duties.
Schedule is flexible, generally between 8:00 a.m. and 4:30 p.m. on weekdays, not every day is required.

Examples of Duties
- Process Library invoices and run weekly payments to vendors
- Post journal entries
- Respond to questions from vendors and staff
- Assist Accounting Manager with special projects
- Assist with daily receipts
- Cash handling
- Monthly accounting reconciliations
- Periodically assists with reception duties in the Administrative Office
- Participates in departmental and library-wide training and activities, including technology and safety training
- Provides excellent internal and external customer service
- Other duties as assigned
- Proficient spreadsheet and accounting software skills
- Ability to perform routine clerical and record-keeping tasks repetitively and efficiently
- Attention to detail and commitment to accuracy
- Strong commitment to public service
- Ability to work with library customers, vendors, and staff in a friendly and efficient manner
- Excellent oral and written communication skills
- Accurate computer and keyboarding skills
- Proficiency with workplace productivity software, including skills in Microsoft Office Suite
- Ability to maintain reliable attendance and regular schedule
- Ability to issue guidance and ensure compliance with the Library's Rules of Conduct and policies
- Flexibility to adapt to changing situations and varying work schedule
- Physical mobility to push a cart and collect cash at service points throughout the Library
- Satisfactory pre-employment background check
- Associate degree or two years of college in the accounting or finance related field required
- Two years of clerical or accounting experience required
- Knowledge of French and/or Spanish is helpful
- Any equivalent combination of experience and training which provides the required knowledge, skills, and abilities
- 2.3077 hours per bi-weekly pay period for the 1st through 7th years (60 hours, or three 20-hour weeks)
- 3.0769 hours per bi-weekly pay period for the 8th through 14th years (80 hours, or four 20-hour weeks)
- 3.8462 hours per bi-weekly pay period for the 15th and succeeding years (100 hours, or five 20-hour weeks)
- 52 hours per year, accruing at 2 hours per pay period.
Holidays
The Library is closed on the following nine (9) days:
New Year's Day, Martin Luther King, Jr., Day, Easter Sunday, Memorial Day, Independence Day, Labor Day, Thanksgiving Day, Christmas Eve Day, and Christmas Day. With the exception of Easter Sunday, all of these days are paid holidays, pro-rated for 20-hour employees at four (4) hours for each holiday. The Library will remain open for Juneteenth and staff members will receive a floating holiday.
Employee Assistance Program
The Library provides a confidential Employee Assistance Program. The cost of this service is paid entirely by the Library. Employees or their family members may arrange for counseling sessions on any area of concern, personal or professional.
Life Insurance
The Library pays for $5,000 of coverage. Optional Supplemental Life for employee and dependents is available; details are available from the Business Office.
Retirement
Library employees participate in IMRF (Illinois Municipal Retirement Fund) a defined benefit pension plan. Employees contribute 4.5% of salary; taxes deferred, and are vested in the plan after ten years. The Library provides an employer contribution that is calculated annually.
Deferred Compensation Plans
Library employees are offered the opportunity to invest in a 457 Deferred Compensation Retirement plan.
Flexible Spending
Employees may choose to set aside pre-tax payroll dollars to pay for annual allowable medical, childcare, and adoption expenses.
Details about the plans will be provided to new employees during their orientation.
