The Administrative Office Assistant provides essential support to ensure efficient operation of the office. This role is responsible for handling a variety of administrative and clerical tasks, including managing correspondence, scheduling appointments, maintaining organized records, and assisting staff and visitors. The ideal candidate is detail‑oriented, proactive, professional, and able to multitask in a fast‑paced environment. Under the assigned supervisor, this position manages office operations and administrative activities in Champaign, IL.
Required Qualifications- High school diploma or equivalent; associate degree or administrative certification preferred.
- Minimum 1–2 years of administrative or office support experience.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and other office software.
- Strong organizational and time‑management skills with attention to detail.
- Excellent written and verbal communication skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Professional demeanor with strong interpersonal skills and customer service orientation.
- Ability to multitask, prioritize, and work independently or as part of a team.
- Greet and assist visitors, clients, and staff in a professional and friendly manner.
- Answer, screen, and direct phone calls; respond to inquiries and relay accurate information.
- Prepare, format, and distribute correspondence, reports, memos, and forms.
- Schedule meetings, appointments, and conference rooms; maintain office calendars.
- Maintain and organize electronic and physical filing systems, ensuring confidentiality and easy retrieval.
- Assist with onboarding new employees, including preparing paperwork and office setup.
- Coordinate office supplies, place orders, and maintain inventory levels.
- Support staff with administrative tasks such as data entry, scanning, copying, and mailing.
- Assist with organizing meetings, trainings, and company events, including logistics and materials.
- Process incoming and outgoing mail and deliveries.
- Maintain a clean, organized, and professional office environment.
- Perform other related duties as assigned to support office operations.
- Tuition assistance up to $2500 per year
