Job Description
The Office Coordinator to the Chief Executive Officer is a six (6) month fixed-term project role responsible for providing comprehensive, high-level executive support to the CEO to ensure the seamless operation of the CEO’s Office during the project period. The incumbent will deliver exceptional administrative, coordination, and stakeholder support, contributing to the effective execution of strategic and operational priorities. This role is critical in enhancing the efficiency and effectiveness of the CEO’s Office through structured executive administration, governance coordination, and alignment with our strategic and organisational objectives for the duration of the project.
Key ResponsibilitiesThe successful candidate will report directly to the Chief Executive Officer and will be responsible for, but not limited to, the following:
Serve as the first point of contact for the CEO’s Office, managing calls, correspondence, and high-level communications.
Manage a complex and demanding executive diary, including scheduling meetings and appointments.
Draft, review, and coordinate executive correspondence and confidential documentation.
Coordinate EXCO and Joint MANCO meetings, including preparation of agendas, minutes, matters arising, and follow-ups.
Organise complex travel arrangements, itineraries, accommodation, and logistics.
Coordinate and consolidate monthly and quarterly reports.
Maintain and monitor a dynamic executive action list, ensuring timely follow-up on delegated tasks.
Ensure performance agreements for all CEO direct reports are in place and properly recorded.
Facilitate communication between the CEO, Council Members, Executive Management, and internal stakeholders.
Provide research, prioritisation, and follow-up on issues requiring executive attention.
Support Council Members with required information and documentation.
Maintain strict confidentiality and discretion at all times.
Keep the CEO’s biography and organisational information updated.
Support relationship-building initiatives and follow up on engagements made by the CEO.
Perform ad-hoc executive and administrative duties as required.
Bachelor’s Degree in Business Administration or a relevant equivalent qualification.
Minimum of three (3) years’ relevant experience in governance, compliance, and executive support functions.
