Role Overview

The F&B Sales Administrator supports the Commercial and Food & Beverage teams, reporting to the Restaurant Reservations Manager and working closely with them to ensure smooth event delivery and efficient inbox management. The role is the primary contact for private dining, reception‑style events, and group enquiries across The Pem Restaurant, Blue Boar Pub, The Orchard Room and The Hedgerow Cocktail Bar.

It requires a strong commercial mindset, a professional tone, and the ability to prioritise opportunities while maintaining brand standards. The position is highly administrative and email‑driven, with a focus on planning and coordinating receptions and private dining functions.

Key Responsibilities
  • Working hours are typically, 9am - 5pm Monday - Thursday and 9am - 4pm on Friday.
    Some days may be 10am - 6pm depending on business needs.
  • Manage group, private dining, and reception enquiries with accurate details, billing, and guest preferences
  • Respond professionally with a solutions‑focused, commercially minded approach to secure business
  • Maintain strong knowledge of venues, menus, seasonal offerings, and event capabilities
  • Apply reservation and event policies including guarantees, cancellations, and no‑show terms
  • Ensure all event details meet brand standards through consistent quality checks
  • Coordinate private dining, receptions, celebrations, and small functions across all venues
  • Work with F&B, Front Office and Groups, Conference & Events teams to deliver accurate BEOs and billing
  • Conduct show rounds, pre‑con meetings, and post‑event follow‑ups
  • Identify upselling opportunities to enhance guest experience and revenue
  • Support individual restaurant reservations when impacted by event operations or major event days
What You’ll Bring
  • Professional communication style and strong guest‑service focus
  • Solutions‑driven mindset with the ability to prioritise and secure business
  • Exceptional administrative skills, including managing multiple inboxes and maintaining structured, high‑volume email workflows
  • Ability to manage multiple enquiries, deadlines, and event details
  • Experience with booking systems (Seven Rooms preferred; Open Table or similar also valuable)
  • Intermediate proficiency in Microsoft Office
Prefered Experience & Qualification

Experience in F&B, restaurant reservations, or commercial events

Tertiary qualifications or equivalent professional training
