Job Summary
Post holder's role is to support the Pre‑Assessment clinical team and associate processes to deliver a comprehensive patient‑centred service. The post holder will be responsible for the reception area and general administration in order to ensure the smooth running of all related clinics and maintain high standards of customer care at all times. They will prioritise conflicting work demands and work effectively with the Pre‑Assessment team, multi‑disciplinary team, internal departments and external agencies to ensure continuity and excellence in patient care.
MainDuties
- Ensure that all visitors are given a positive image of the service, being polite, courteous and helpful, remaining calm in all situations.
- Escalate wait times to the manager and provide patients with up‑to‑date information and solutions to make their visit more comfortable during longer waits.
- Arrive and depart patients on EPIC in a timely manner, marking those who DNA accordingly.
- Complete all relevant patient clinical outcomes on EPIC accurately and maintain good communication with specialities to ensure outcomes are acted upon.

- Be knowledgeable about the service and provide patients with accurate information, knowing the boundaries for when it is not appropriate to provide advice.
- Ensure the reception area is tidy, safe and accessible for patients.
- Replenish the stock of patient leaflets (e.g. PALS leaflets).
- Ensure patient confidentiality is adhered to within and outside of the clinical setting.
- Constructively address aggressive and abusive patients; escalated where appropriate.
- Act as the first point of contact for patients, clinical specialties and other NHS professionals who may have queries regarding the service, dealing with administrative enquiries and correspondence.
- Constructively manage barriers to communication with patients of differing cultures and ethnic backgrounds or those with language barriers.
- Liaise with other departments in the hospital (diagnostic departments, medical records, HR, patient environment, domestic services, translating services, transport, PALS, supplies and projects/works) as required.
- Answer telephone enquiries and accurately relay messages where necessary, ensuring that any requested action is undertaken in a timely fashion.
- Ensure that all patient demographic data (address, postcode, GP and ethnic code) are checked upon attendance and updated as necessary in the relevant computer system(s).
- Generate patient information leaflets/letters as required.
- Provide electronic information to patients accurately.
- GCSE grade A–C in English and Mathematics or equivalent, with 2 years of previous administration experience.
- Excellent IT skills.
- Able to organise and prioritise.
- Excellent interpersonal skills.
- General administrative experience.
- Knowledge of appointment systems and patient administration systems.
- Previous NHS experience.
