Overview

The post holder will provide leadership and day-to-day operational management of CDC clerical teams, ensuring the smooth running of reception and booking functions. You will manage diagnostic referrals and appointments, ensuring they are handled efficiently, professionally, and in line with our commitment to outstanding patient care. Responsibilities
  • Provide direct line management and development of the administration team for both CDC sites; ensure all appointments are made in line with Trust Policies and Standard Operating Procedures.
  • Create and maintain a working environment that encourages high morale, commitment, and excellent customer service.
  • Identify service improvements within any administration process and participate in or lead on new systems implemented for the CDC administration staff.
  • Manage sickness/absence and annual leave; coordinate duty rosters to ensure uninterrupted service delivery.
  • Oversee recruitment for new staff with support from the Associate Service Manager; coordinate induction for new team members across the Trust.
  • Monitor individual and team performance; conduct 1:1s, appraisals (PDRs), and team meetings in line with Trust Policy.
  • Assist the Associate Service Manager with ad hoc requests.

  • Be responsible for temporary staff booking and expenditure in line with key controls.
  • Ensure reception duties are covered on an 8am-8pm basis at both CDC sites.
  • Develop robust administrative processes in collaboration with the management team; manage the day-to-day running of reception and Booking staff, determine work priorities, and allocate resources.
  • Manage staff rosters, conduct regular audits of reception processes, and perform reception/clerical duties as required.
  • Handle telephone calls courteously; collaborate with the UHL site counterpart for cross-site cover when needed.
  • Train staff in Soliton usage and coordinate iCARE training for new staff; oversee recruitment for Reception and Booking vacancies.
  • Identify training needs and support ongoing staff development through performance reviews and mandatory training;
  • Maintain effective communications systems, including team briefings in the absence of the Assistant Service Manager; undertake disciplinary investigations and issue informal warnings as required.
  • Provide department information, generate ad hoc and performance reports with quality indicators, and ensure compliance with procedures.
  • Maintain regular communication with Senior Management and support staffing mix planning with the Assistant Service Manager.
  • Prepare weekly performance reports for the Assistant Service Manager.
Workforce

The post holder must ensure reception and booking staff are covered at all times, and complete manpower and payroll-related returns and leave/absence records while monitoring sickness and punctuality in line with Trust policy.

Partnerships

Ensure effective use of Trust resources in Radiology, support the Division to achieve NHS waiting-time targets, and cover for the Assistant Service Manager when absent. Produce monthly manpower and sickness reports and weekly performance figures; demonstrate comprehensive understanding of Soliton functionality and statistical interpretation.
