Hours:
09:30 – 17:30, Monday to Friday (office-based)
A fantastic opportunity for an Office Services Assistant to join one of the City’s most prestigious US law firms. Working as part of a small, highly professional team, you will provide efficient mailroom, reprographics and office services support, ensuring a consistently high standard of client service across the firm.
This is an office-based role offering excellent benefits, including free breakfast and lunch daily.
Key Responsibilities
• Sorting and delivering incoming mail, including hourly internal mail rounds
• Managing pouches to international offices and coordinating local and international courier services, including tracking, special delivery and recorded items
• Responding promptly to email and telephone service requests
• Providing reprographics support, including printing, copying, binding, lamination, CD burning and document production (e.g. bibles)
• Maintaining paper stock and toner levels for floor copiers; replenishing consumables
• Ordering stationery from external suppliers and internal New York teams
• Responding to copier technical issues and liaising with engineers where required
• Managing records scanning, batch creation and document recall requests
• Supporting recycling and confidential shredding processes
• Assisting with conference room set-ups and ad hoc office support tasks
Skills & Experience Required
• A reliable and proactive team player with the ability to use initiative
• Strong communication skills with the ability to follow and interpret instructions accurately
• High attention to detail with a commitment to delivering quality work
• Flexible approach, with willingness to work overtime when required
• Good IT skills, including a working knowledge of Microsoft Office and the ability to learn new systems
• Strong academic background
• Previous experience in a mailroom, reprographics or records role within a law firm or professional services environment is desirable
