Your mission
We are looking for a Junior Purchase Ledger Assistant to join our team in the London office.
Location: London Office (Hybrid)
Contract: Permanent Full Time 5 days per week (35 Hours)
Key ResponsibilitiesDuties to include but not limited to:
- Support the Purchase Ledger Controller with day-to-day purchase ledger tasks.
- Download invoices and credit notes from the shared email inbox and distribute them to the appropriate departments for authorisation.
- Accurately code invoices to the correct nominal codes and enter them into the purchase ledger system (Access Dimensions).
- Assist with responding to basic supplier and staff queries via email and telephone, escalating more complex matters as required.
- Help maintain invoice records and ensure all documentation is filed correctly and promptly.
- Support with reconciling supplier statements by checking for missing invoices and assisting with chasing outstanding items.
- Provide administrative support during month-end processes, including preparation of reconciliations under supervision.
- Assist with the monthly payment run, including preparing remittance advice for distribution by email or post.
- Process staff expense claims, including coding and entering them into Access Dimensions, ensuring queries are escalated as needed.
- Aid in the implementation and ongoing use of the invoice approval system, including basic troubleshooting and user support.
- Work collaboratively with the Accounts team and other departments to ensure smooth workflow and timely processing of financial documents.
- Previous and relevant experience in Purchase Ledger (highly desirable but not essential).
- Ability to prioritize, plan, and be flexible in accordance with work responsibilities to meet deadlines.
- Accurate and numerate with a high level of attention to detail (essential).
- Excellent communicator, both written and verbal, with effective communication skills at all levels.
- IT literate with a comprehensive understanding of Windows-based programs.
- Good working knowledge of IT accounting packages (Ad Depot System and Access Dimension are advantageous).
- AAT qualified or working towards (desirable but not essential).
