We are seeking a professional and organised Administrative Assist to support Oneglobal’s Executive Assistant in ensuring smooth office operations and providing administrative assistance to senior management. The ideal candidate will have a proactive attitude, excellent communication skills, and the ability to multitask in a busy environment.
Key Responsibilities- Extensive calendar and scheduling management.
- Arranging Board and Committee meetings.
- Facilitating travel and logistics – Coordinating domestic and international travel (booking flights, transfer, accommodation, restaurants and preparing itineraries).
- Acting as a gatekeeper and first point of contact for Executives.
- Preparing, editing and formatting reports, presentations, and other documents.
- Updating and filing of corporate documents.
- Preparing meeting packs, taking meeting notes and circulating follow-up actions.
- Serving as point of contact between Executives and internal/external clients and stakeholders.
- Expense and invoice management.
- Assisting Executives with projects, work and personal, and ad-hoc tasks as and when needed.
- Event planning such as Town Halls, Conferences, Away-Days and social activities.
- Team / Company communications on behalf of Executives.
- Screen and direct calls, distribute correspondence and manage mailboxes and email correspondence.
- Arranging courier deliveries.
- Provide cover for the In-House Services Manager during lunch breaks and annual leave.
- Previous experience in an administrative role, supporting senior management essential.
- Strong interpersonal and communication skills (both written and verbal).
- Excellent organisational skills with attention to detail.
- Ability to multitask and handle a busy work environment.
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other office software.
- Professional manner and customer-service orientation.
- Discretion and the ability to handle confidential information.
- Team player with the ability to thrive under pressure in a changing environment.
