The account coordinator generally provides assistance to the account managers in the day-to-day management of accounts and develops the necessary skills to advance to the position of account manager.
Account Coordinator Responsibilities:- Provides administrative assistance to account managers on day-to-day client activities, including responding to client communications, production and creative deadlines, media placements, etc., to ensure the continued progress of client workflow in the absence of the assigned account manager
- Stays aware of client activities to provide backup when account managers are unavailable
- Gathers and assembles background information and analyses as needed by account manager in development of briefs, etc
- Provides input in planning stages as requested by account managers. Assists in writing copy, ideation, proofing final copy, developing agendas, quotes, correspondence, and other materials related to account service, and preparing the above for client presentations. Sees that all work completes the standard agency approval process before being reviewed by clients or turned over to suppliers
- Opens projects in Workamajig and works to establish and assign timelines and tasks for involved team members, sets up server files for approvals, copy, forms and documents
- Makes sure all media and projects proceed according to plan and deadlines, drawing attention of account managers to potential problems before they occur
- By account manager request, takes minutes at meetings, prepares and distributes client meeting reports and/or monthly reporting
- Help account managers prepare for in-person meetings hosted at de Novo, or at client locations by ensuring technology is ready/working, and any other elements that support the client experience are prepared and ready
- Assists in public relations efforts. This could include ideation, writing and distributing press releases and media alerts, pitching story ideas to media outlets and follow up on relevant stories
- Attends and assists on client video shoots. Provides production assistance with preparing shoot materials (production schedules, scripts, etc.) equipment transfer and set up, interviewing, or other tasks as needed and as determined in pre‑production
- Supports business development efforts, including developing quotes and proposals, providing follow up, researching industries and keeping agency CRM database updated
- On occasion the account coordinator may function as the primary or only point of contact with certain clients, as needed
- Other duties as assigned
Qualifications:
- 2-3 years blend of education and experience in marketing, communications, sales, or related field
- Strong communication & organizational skills
- Experience with graphic design software
- Working knowledge of CRM software such as Salesforce or Hubspot
- Experience with marketing tools such as Google Analytics
- Ability to manage multiple projects
- Exceptional attention to detail
